Job Description

Key Responsibilities:

• Administrative Support
• Manage the executive's calendar, coordinating meetings, appointments, and travel arrangements with precision.
• Prepare meeting agendas, take detailed notes, and distribute minutes or action items following meetings.
• Handle all correspondence on behalf of the executive, including emails, calls, and written communications.
• Screen and prioritize requests, directing inquiries to the appropriate departments as needed.
• Project Coordination and Support
• Assist with planning, coordinating, and executing special projects, ensuring timely delivery of results.
• Liaise between the executive team and various departments to facilitate smooth communication.
• Prepare and organize reports, presentations, and documents as required.
• Communication and Relationship Management
• Serve as a primary point of contact for internal and external stakeholders on all matters pertaining to the executive.
• Build strong relationships with other executives, board members, partners, and clients.
• Handle confidential information with professionalism, demonstrating trustworthiness and discretion.
• Travel and Event Coordination
• Coordinate all aspects of travel, including flights, accommodations, transportation, and itineraries.
• Plan and execute company events, conferences, and off-site meetings as required.
• Office and Team Support
• Manage office supplies and resources to ensure a well-functioning workspace.
• Support team events and morale-building initiatives, assisting with onboarding and welcoming new team members.
• Handle ad hoc requests and special tasks as assigned by the executive.

Key Qualifications

• Experience
• 1+ year of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior-level executives.
• Experience in a corporate environment, with a preference for roles requiring high levels of confidentiality.
• Skills and Competencies
• Exceptional Organizational Skills : Ability to prioritize and multitask in a fast-paced, deadline-driven environment.
• Communication Skills : Excellent written and verbal communication abilities for effective stakeholder interactions.
• Tech-Savvy : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Zoom, Google etc).
• Problem-Solving Abilities : Capable of anticipating needs and proactively solving challenges.
• Discretion and Confidentiality : Demonstrated ability to handle sensitive information with professionalism and trust.

Education:

• Bachelor's Degree preferred, ideally in Business Administration, Communications, or a related field.
• Other Requirements
• Flexibility with hours, as the position may occasionally require early or late availability to accommodate the executive's schedule.
• Strong interpersonal skills and a high level of professionalism.

Job Types: Full-time, Permanent

Pay: ?16,000.00 - ?20,000.00 per month
