Job purpose:
We are looking for an Executive Assistant who brings in a minimum of 6 years of relevant
expertise with Pleasing Personality and Good Communication skills, Secretarial support to the
MD.
:
• Preparing Daily Calendar for MD.
• To provide administrative servicees including diary management, organizing internal and
external meetings, planning events and teleconferences, organizing travel including
arranging accommodation, preparing travel itineraries, correspondence and prioritizing
emails for the MD.
• Preparing Agenda #Carry out all the tasks allotted by the MD like reading, drafting letters,
collecting & analyzing information, initiating communication.
• Report directly to MD and act as a point of contact for all the internal as well as the
external contacts.
• To work closely with the MD and Senior Leadership Team through regular
correspondence, arrange meetings and prepare briefing materials for the MD.
• To provide administrative support in the delivery of assignments and initiatives on behalf
of the MDs office as and when required like follow-up and completion of departmental
work plans.
• To ensure all correspondence and relevant materials are produced in a timely and
accurate manner.
• To coordinate departmental reports and documentation for the Board meetings.
• To coordinate, attend and take minutes for the MDs meetings and any other relevant
meetings.
• To follow up on action points from meetings on behalf of the MD.
• Successfully completes critical aspects of deliverables with a hands-on approach,
including drafting acknowledgement letters, personal correspondence, and other tasks
that facilitate the MD's ability to effectively lead the company.
• Internal and external communication related to MD's office.
• Always maintain confidentially and privacy in respect of these and any other
communications which are necessary and appropriate for the discharge of the role and
responsibilities.
Other Responsibilities
• The flexibility to work additional/out of hours as necessary to fulfil the requirements of
the role and meet the business need
Job Skills Set:
• Bachelor's degree in any stream.
• Strong interpersonal skills and the ability to build relationships with stakeholders,
including staff, board members and external partners.
• Excellent writing, editing, grammatical, organizational, and research skills.
• Excellent management, time-management, and problem-solving skills.
• Excellent administration and secretarial skills.
• Proficiency in Windows, including MS Word, EXCEL and PowerPoint.
