Key Responsibilities:
1. Executive Support
Manage and maintain CEO's calendar, schedule appointments, and coordinate meetings across time zones.
Prepare daily briefs and background notes for meetings, calls, and events.
Handle travel logistics including itineraries, bookings, and expense tracking.
2. Communication & Coordination
Act as the first point of contact for internal and external communications addressed to the CEO.
Draft emails, proposals, and presentations on behalf of the CEO when required.
Liaise with department heads to follow up on action points, deadlines, and strategic initiatives.
3. Meeting & Documentation Management
Set agendas, take minutes, and track follow-ups for leadership meetings.
Maintain and organize key documents, board materials, MoUs, and donor communications.
Ensure confidentiality and data protection in all sensitive matters.
4. Project Tracking & Strategic Assistance
Help monitor progress on key organizational projects and flag any delays or concerns.
Assist with donor proposals, reporting deadlines, and high-priority tasks as directed by the CEO and other key people in the organisation.
Maintain a pulse on organizational priorities and support CEO in time-sensitive decisions.
5. Stakeholder Engagement
Support CEO in donor relations, corporate outreach, and board engagement.
Coordinate visits and events involving government officials, CSR heads, and high-profile donors.
Represent the CEO in select meetings or events if required.
