Position Overview-

The Executive Assistant provides high-level administrative support to senior executives or management teams. This role is crucial in managing the executive's schedule, handling communications, coordinating meetings, and overseeing office operations to ensure smooth and efficient business practices. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple tasks and priorities with a high degree of professionalism and confidentiality.

Key Responsibilities

- Calendar and Schedule Management

- Manage and maintain the executive's calendar by scheduling meetings, appointments, and travel arrangements.

- Prioritize and resolve conflicting appointments and requests.

- Prepare agendas, documents, and any relevant materials for meetings and events.

- Communication and Correspondence

- Act as the primary point of contact for internal and external communications for the executive.

- Screen and direct phone calls, emails, and other correspondence to appropriate departments or individuals.

- Draft and proofread emails, memos, reports, and presentations on behalf of the executive.

- Meeting Coordination and Travel Management

- Organize and coordinate meetings, conferences, and other events, ensuring all logistical details are arranged.

- Handle travel arrangements, including booking flights, hotels, ground transportation, and preparing detailed itineraries.

- Prepare expense reports and manage the executive's business-related expenses.

- Document and File Management

- Maintain and organize both digital and paper filing systems, ensuring sensitive documents are handled with discretion.

- Assist with preparing reports, presentations, and other business documents.

- Ensure the executive's office is organized and equipped for optimal efficiency.

- Project and Task Management

- Assist with managing and tracking key projects and deadlines, ensuring timely completion.

- Support the executive with strategic initiatives, by coordinating between teams and departments.

- Follow up on action items, meeting notes, and deadlines to ensure tasks are completed on time.

- Confidentiality and Professionalism

- Handle confidential and sensitive information with discretion and professionalism.

- Maintain a high level of professionalism in all interactions with internal and external stakeholders.

- Miscellaneous Administrative Support

- Provide general administrative support to the executive and team members as needed.

- Handle special projects or research tasks as requested by the executive.

Job Types: Full-time, Permanent

Pay: ?30,928.55 - ?50,407.14 per month
