Role & Responsibilities :
Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Screen and prioritize incoming communications, including emails, phone calls, and correspondence, and respond or escalate as appropriate.
Prepare and edit documents, presentations, and reports for executive review, ensuring accuracy and professionalism.
Act as a liaison between executives and internal departments, external partners, and clients, facilitating communication and information flow.
Organize and coordinate meetings, conferences, and events, including preparing agendas, managing logistics, and recording minutes when necessary.
Maintain executive files, records, and databases, ensuring confidentiality and accuracy of information.
Conduct research and compile data as requested by executives to support decision-making and strategic initiatives.
Assist with special projects and initiatives as assigned by executives, providing administrative and logistical support as needed.
Manage expense reports, invoices, and other financial documents, ensuring timely processing and reconciliation.
Anticipate and address the needs of executives proactively, identifying opportunities to streamline processes and improve efficiency.
Handle confidential and sensitive information with discretion and professionalism at all times.
Perform other duties as assigned to support the overall objectives of the executive office and organization.
Preferred candidate profile :
Bachelor's degree in Business Administration, Management, or related field preferred.
Proven experience as an executive assistant or similar role, preferably supporting senior executives or management.
Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Strong communication skills, both written and verbal, with the ability to interact effectively with internal and external stakeholders.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
Detail-oriented with a high level of accuracy and attention to detail.
Flexibility and adaptability to changing priorities and deadlines in a fast-paced environment.
Strong problem-solving skills and the ability to think critically and make sound decisions.
Professional demeanor with a positive attitude and customer service orientation.
