What You'll Do:
• Schedule Management: Coordinate and manage the founder's appointments, meetings, and events, ensuring smooth operations.
• Travel Coordination: Plan and organize the founder's travel logistics, including flights, accommodations, and transportation for efficient and stress-free travel.
• Meeting Preparation: Handle meeting logistics, prepare necessary documents, and ensure meetings are well-organized and productive.
• Information Management: Manage incoming calls and messages, promptly relaying important information to keep the founder well-informed.
• Email Management: Oversee the founder's inbox, respond to key emails, maintain confidentiality, and ensure timely communication.
• Foster Communication: Facilitate effective communication and coordination with internal teams, promoting collaborative efforts and streamlined operations.
• Adaptability: Thrive in a fast-paced environment, adjusting to changing priorities and taking on new tasks as needed.
What We Seek:
• Experienced Professional: Able to work independently and manage the needs of various stakeholders efficiently.
• Educational Background: A Bachelor's degree or equivalent in a relevant field.
• Executive Assistant Experience: 5+ years of experience supporting senior leaders, demonstrating professionalism and expertise.
What You'll Need:
• Strong Relationship Skills: Proven ability to build and maintain professional relationships with diverse stakeholders.
• Organizational Proficiency: Skilled in using tools like Trello, Notion, and Airtable, with excellent organizational and time-management skills.
• Candidates having experience in events/ exhibitions industry are highly preferable. Hospitality background will also do. Although candidates from other industries are also welcome.
We are looking for a responsible Executive Assistant to perform clerical tasks in a well-organized and timely way. You will need to act proactively and without guidance while understanding the needs and characteristics of people with whom you work with.
