Responsibilities:

• Calendar Management: Schedule appointments, meetings, and travel arrangements, ensuring efficient use of time and prioritizing based on importance.
• Communication Management:
• Screen and manage incoming calls and emails, prioritizing and responding appropriately on behalf of the Founder/Director.
• Draft emails, letters, and other forms of communication in a professional and clear manner.
• Manage key client communications, make first calls that lead to scheduling closure calls with the Founder/Director.

Follow up with key stakeholders via phone, email, text or social media as required.

• Project Management:
• Coordinate and manage internal and external projects.
• Conduct research and prepare reports as needed.
• Oversee the creation of marketing and communication materials using tools like Canva.

Client & Vendor Management:

• Build and maintain positive relationships with key clients and vendors.
• Manage client expectations and ensure smooth interactions.

Team Management:

• Support team members and manage their workflows. Conduct daily / weekly / monthly reviews to ensure they are performing on track.
• Assist with performance reviews for staff reporting to the Founder/Director.
• Administrative Support:
• Manage expense reports and maintain accurate financial records.
• Organize and maintain filing systems
• Track and manage important deadlines.
• Schedule and conduting site visits within Delhi NCR.
• Additional Responsibilities:
• Maintain a professional and organized work environment.
• Do online research and prepare findings as and when required
• Stay informed on industry trends and news relevant to 8MH Organic and IMI.
• Proactively anticipate needs and manage unforeseen challenges.
• Act as a confidential and trusted advisor to the Founder/Director.

Qualifications:

• Bachelor's degree or equivalent experience in business administration, communication, or a related field.
• Minimum 2-3 years of experience as an Executive Assistant or a similar role.
• Strong organizational, time management, and communication skills.
• Ability to work independently and manage multiple tasks simultaneously.
• Excellent interpersonal skills and the ability to build rapport with people at all levels.
• Proficient in Microsoft Office Suite and project management tools.
• Familiarity with graphic design tools like Canva a plus.
• Discretion and ability to maintain confidentiality.
