Job Summary:

The Executive Assistant (EA) provides high-level administrative support to [Executive's Title], ensuring efficient operations and handling of various tasks to optimize the executive's time and productivity. The EA serves as a key point of contact for internal and external stakeholders and represents the executive office in a professional and courteous manner.

Key Responsibilities:

• Administrative Support:
• Manage the executive's calendar, schedule meetings, and coordinate appointments.
• Prepare and organize meeting materials, including agendas, presentations, and reports.
• Handle travel arrangements, including booking flights, accommodations, and transportation.
• Draft, review, and manage correspondence, including emails, letters, and memos.
• Communication & Coordination:
• Serve as the primary point of contact for the executive, screening and directing phone calls and emails as appropriate.
• Facilitate communication between the executive and internal departments, as well as external partners.
• Organize and attend meetings, take minutes, and follow up on action items.
• Project Management:
• Assist in the planning and execution of special projects and initiatives.
• Track progress on various projects, ensuring deadlines are met and deliverables are completed.
• Documentation & Record Keeping:
• Maintain confidential files and records, ensuring all documentation is up-to-date and easily accessible.
• Handle sensitive information with discretion and confidentiality.
• Event Planning:
• Plan and coordinate corporate events, meetings, and conferences.
• Manage event logistics, including venue selection, catering, and attendee communication.
• Office Management:
• Oversee office operations, including supply management, equipment maintenance, and general office upkeep.
• Coordinate with vendors and service providers to ensure smooth office functionality.

Qualifications:

• Bachelor's degree in Business Administration, Communications, or a related field preferred.
• Proven experience as an Executive Assistant or in a similar administrative role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks.
• Excellent verbal and written communication skills.
• Professional demeanor, with the ability to interact effectively with all levels of the organization.
• Discretion and confidentiality in handling sensitive information.
• Strong problem-solving skills and attention to detail.

Preferred Skills:

• Experience with project management tools and software.
