Job Summary:
The Executive Assistant (EA) acts as a gatekeeper and liaison for the CEO, ensuring efficient and effective operations within the executive's office. This role involves strategic support, administrative tasks, and coordination to maximize the CEO's productivity.
Key Responsibilities:
• Administrative Support:
• Manage the CEO's calendar, schedule meetings, and coordinate appointments.
• Handle correspondence, including emails, letters, and reports.
• Prepare agendas, presentations, and detailed minutes for meetings.
• Communication and Coordination:
• Serve as the first point of contact between the CEO and stakeholders.
• Manage communication flow and ensure timely responses.
• Coordinate with department heads and external partners on behalf of the CEO.
• Strategic Assistance:
• Conduct research and prepare briefing documents for meetings.
• Assist in tracking strategic projects and provide periodic updates.
• Handle confidential information with discretion.
• Event Management:
• Organize and coordinate events, conferences, and travel arrangements.
• Oversee the logistical aspects of business trips, including visas, accommodation, and itineraries.
• Office Management:
• Supervise staff working under the CEO's office.
• Maintain and update important documents, databases, and filing systems.
Requirements:
• Bachelor's degree in Business Administration, Communications, or a related field.
• Proven experience (2+ years) in an executive support role.
• Exceptional organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite and communication tools.
• Strong interpersonal skills and a high degree of professionalism.
• Ability to work in a fast-paced environment and handle high-pressure situations.
