Coordinate information and refreshment with the team.Schedule meetings inside and outside the office: prepare any documentation which may be required and deal with necessary catering or other practical arrangements.Assist with the organization of team meetings and other ad hoc team/company events.When team members are unavailable, act as the first point of contact for requests and queries, maintaining the appropriate level of confidentiality.Open and distribute incoming mail, screen telephone calls, and type and proof correspondence.Organize travel for team members managing agendas, flight/transfer organization, and hotel booking.Suggest the most appropriate fares available, in line with company policies.Liaise with the finance department to resolve any budget/accounting issues that may arise in the expense administration processes.Ensure timely issue of purchase orders and control the process in SAP until the final closing, in accordance with company procedures.Forge good working relations with other administrative staff across various departments and with suppliers.Build effective capability and efficiency in the system by analyzing the current state and leading alliances between key stakeholders.Work under general direction and minimal supervision; plans, schedules, and arranges own activities.
