The Role: Executive Assistant

Grade (relevant for internal applicants only): Grade Level 8

The Location: Ahmedabad.

The Team: Responsible for working within SPGMI's Executive & Operations Support organization. The Executive Assistant will support the executive stakeholders across the organization by providing administrative and operational support through standardized workflows. The role will coordinate resources, improve workflow processes, and maintain collaborative team environments to accomplish meeting all goals.

The Impact: Act as a liaison between the executive team and supporting departments to execute on all required administrative and operational needs to maximize business workflows. Maintain best practices and industry standards to provide a leaner, consistent and reliable operational cost structure.

Responsibilities:

Maintains central point of record for all related executive information (travel, schedule, preferences, expenses, etc)

Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

Coordinate and support all meeting logistics; includes catering, meeting logistics, meeting materials, etc.

Provide support to stakeholders, including coordination of transportation, accommodations, meeting preparation (preparing meeting materials) technical assistance

Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions

Communicates status updates on regular frequency to stakeholders as required

Maintains customer confidence and protects operations by keeping information confidential

Prepares reports by collecting and analyzing information

Works collaboratively with various internal departments to establish clear stakeholder expectations to ensure all deliverables are completed on-time

Responsible to maintaining accurate and relevant workflow procedures

What We're Looking For:

Basic Qualifications:

Education:

Bachelor's degree in Business Management, English, Communications or a relevant field preferred, but not required if comparable work experience is established.

Work Experience:

1 to 3 years of experience in business administration/options capacity required.

Proven ability to manage multiple tasks, projects, resources and dependencies in a fast-paced environment.

Language Requirements:

Strong English speaking and written skills required.

General fast-paced office environment.

Regular computer use required.

Regular attendance is required.

Occasional lifting of 25 pounds is required.

Work Schedule/Travel/On Call, etc.:

Flexible schedule to meet important deadlines.

Strong background on handling Travel support in a global environment is an advantage

Strong and effective problem-solving, analytical, and research skills

Excellent and effective organizational and time management skills

Excellent MS Office skills

Ability to work autonomously in a relatively unstructured environment, to prioritize and multi-task on competing projects and to execute and complete deliverables in a timely manner

Aptitude for learning

Knowledge of S&P processes is a bonus
