Job Description

Role Overview:

We are looking for a proactive and execution-driven Administration Executive cum Executive Assistant to the CEO who can manage the overall office administration and support the CEO in critical business functions. This role requires strong decision-making abilities, stakeholder coordination, and multitasking skills to manage day-to-day operations. The ideal candidate should have a strong understanding of the startup ecosystem and experience coordinating with multiple departments like Sales & Marketing, Finance, HR and Operations. The role will also involve travel coordination, stakeholder communication, business meetings, and presentations.

Key Responsibilities:

1. Executive Assistance to CEO

? Manage and prioritize CEO's calendar, meetings, and travel arrangements.

? Act as the first point of contact for both internal and external stakeholders on behalf of the CEO.

? Handle email correspondence, phone calls, and scheduling with professional discretion. ? Draft and prepare company presentations, reports, and official communication. ? Organize and maintain confidential company records, contracts, and business documents.

2. Office Administration & Coordination

? Oversee office administration including vendor management, procurement, office supplies, and facility maintenance.

? Ensure compliance with administrative policies and streamline operational workflows.

? Assist in preparing MIS reports, expense tracking, and budgeting for office administration.

3. Cross-Functional Coordination

? Collaborate with Sales & Marketing, Finance, HR and Operations teams to ensure smooth business operations.

? Coordinate with field executives in Gujarat for operational efficiency.

? Liaise with external stakeholders, government bodies, and regulatory agencies as required.

4. Travel & Event Management

? Arrange domestic and international travel, including ticket booking, accommodation, and itineraries.

? Plan and coordinate business meetings, industry events, and networking opportunities.

5. Execution & Problem-Solving

? Proactively identify and resolve operational bottlenecks.

? Assist in strategic planning and execution of CEO's directives.

? Be a go-getter with strong execution skills to ensure seamless coordination across all departments. Preferred Candidate Profile

? Education: Bachelor's or Master's degree in Business Administration, Management, or related fields.

? Experience: 1-2 years in a similar role, preferably in a startup. Waste Management / Sustainability Industry experience will be a great advantage

? Language Skills: Must be fluent in Gujarati, English, and Hindi.

? Technical Skills: Proficiency in MS Office (Excel, PowerPoint, Word), G-Suite, and project management tools.

? Soft Skills: Strong communication, decision-making, multitasking, and problem-solving abilities.

? Work Ethic: Highly organized, detail-oriented, and capable of working in a fast-paced environment.
