Responsibilities:
Compilation and preparation of Log sheet.
Schedule and organize activities such as meetings, travel, special events and accommodation arrangements.
Prepare general correspondence and reports.
Manage the day-to-day operations for the office, helps with standard work instructions, ensures all invoices are approved, with proper GL codes, and forwarded to accounting for payment.
Provide administrative assistance to the assigned facility. This may include typing, data entry, faxing, shipping log data, running reports, updating spreadsheets, making copies, assigning job numbers, reviewing documents for errors, printing, assisting with travel arrangements, etc.
Responsible for receiving visitors by greeting them in person or on the telephone; answering or referring inquiries
Arranges & offers beverage to guests where necessary
Sourcing and overseeing contracts and service providers for functions such as catering, cleaning, parking, security, and technology
Ensuring that basic facilities are well-maintained and conducting proactive maintenance
Monitor office supplies and place orders when necessary
Ensuring that facilities meet compliance standards and government regulations
Planning for the future by forecasting the facility's upcoming needs and requirements
Maintains employee and department directories as a guide for directing visitors
Schedules meetings and travel for executives, as well as appointments for customers
Documents and communicates actions, irregularities, and continuing needs to maintain continuity among work teams
Handles outgoing mails; sorts and distributes incoming mails
Maintains and stocks basic office supplies
Helping with office relocations
Dealing with emergencies as they arise
Drafting maintenance reports
Responsible for basic data entry as assigned
Ensures compliance with company rules and regulations in office area.
Organizing events & making necessary arrangements
Requirements and Skills:
Must be able to interact and communicate with individuals at all levels of the organization.
Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint).
Ability to work as a part of a team.
Ability to manage time efficiently.
Good communication and interpersonal skills.
Knowing Hindi language is an added advantage
Strong ethics and reliability.
Flexibility and adaptability to changes in the workplace.
