Key Responsibilities:
1. Administrative Support:
• Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare agendas, presentations, and documents for meetings.
• Coordinate and organize logistics for internal and external events.
2. Communication Management:
• Act as the first point of contact for the executive, screening calls and emails, and prioritizing correspondence.
• Draft, proofread, and edit emails, reports, and other communications.
• Maintain confidentiality of sensitive information.
3. Project Coordination:
• Assist in tracking progress on key projects and ensuring deadlines are met.
• Conduct research and compile data for reports or presentations.
• Collaborate with team members to streamline workflow and support initiatives.
4. Office Management:
• Maintain filing systems and ensure documentation is up-to-date.
• Handle expense reporting, budgeting, and invoice processing for the executive's office.
• Order supplies and oversee equipment maintenance.
5. Stakeholder Management:
• Build and maintain relationships with internal teams, clients, and vendors.
• Represent the executive professionally during interactions with external parties.
• Facilitate communication between the executive and various departments.
Qualifications:Education:
• Bachelor's degree in Business Administration, Communications, or related field preferred.
Experience:
• 2 years of experience in an administrative or executive support role.
• Experience working in a fast-paced, high-pressure environment is a plus.
Skills:
• Exceptional organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools (e.g., Google Workspace, Zoom).
• Strong written and verbal communication skills.
• Ability to prioritize tasks and manage time effectively.
• Professional demeanor and discretion in handling confidential matters.
