:Job Summary:
Della Adventure & Resorts is seeking a highly organized, energetic, and customer-focused Event Executive to assist in the planning, coordination, and execution of a variety of events hosted at our luxury resort. The Event Executive will play a pivotal role in ensuring seamless event operations, from pre-event planning to post-event follow-up, while delivering an exceptional guest experience in line with the high standards of Della Adventure & Resorts.Key Responsibilities:

  • Event Planning & Coordination:
o Assist in the planning, coordination, and execution of corporate events, weddings, social gatherings, conferences, and other special events.
o Collaborate with clients to understand their event needs, preferences, and vision. Help translate these into detailed plans and timelines.
o Work closely with internal teams, such as catering, audio-visual, and housekeeping, to ensure all event requirements are met.
  • Client Liaison:
o Serve as the primary point of contact for clients throughout the event planning process, providing expert guidance, and responding to inquiries promptly.
o Maintain strong relationships with clients, ensuring a high level of satisfaction throughout the planning stages and on the event day.
  • Vendor Management:
o Coordinate with external vendors (florists, decorators, photographers, etc.) to secure necessary services and ensure all logistics are handled smoothly.
o Negotiate contracts and service agreements with vendors, ensuring adherence to budgetary guidelines.
  • Event Logistics & Setup:
o Oversee the physical setup of events, ensuring that all logistical aspects (seating arrangements, signage, AV equipment, etc.) are in place according to the client's specifications.
o Ensure that events run on time and within the established guidelines, handling any issues that arise during the event promptly and efficiently.
  • Budgeting & Cost Management:
o Assist in preparing event budgets, tracking expenses, and ensuring that events stay within budgetary constraints.
o Provide clients with accurate cost estimates, updates on expenditures, and assist in invoicing after the event.
  • Guest Experience:
o Ensure high levels of guest satisfaction during events by anticipating needs, offering assistance, and providing timely responses to any concerns or requests.
o Provide support to event guests, handling any issues or complaints promptly to ensure a positive experience.
  • Post-Event Follow-Up:
o Conduct post-event evaluations, gathering feedback from clients to improve future event services.
o Assist in sending out thank-you notes or follow-up surveys to clients after events.Job Expectations:Qualifications:
  • Experience:
o Minimum of 2 years of experience in event coordination or hospitality, preferably in a luxury hotel or resort environment.
o Experience in handling a wide range of events, including corporate meetings, social events, weddings, and conferences.
  • Skills:
o Excellent organizational and time management skills with the ability to multitask effectively.
o Strong communication and interpersonal skills to liaise with clients, vendors, and internal teams.
o Proficiency in event management software and Microsoft Office Suite (Excel, Word, PowerPoint).
o Attention to detail and ability to anticipate client needs.
o Ability to work under pressure and manage multiple tasks simultaneously.
  • Education:
o A degree in Hospitality Management, Event Planning, or a related field is preferred but not required.
  • Personal Traits:
o Enthusiastic, self-motivated, and a team player.
o A passion for creating memorable experiences and delivering exceptional service.
