We are seeking a highly organized, proactive, and professional Executive Assistant to support
our Managing Director. The ideal candidate will have exceptional communication skills, the
ability to manage multiple priorities, and a strong sense of discretion. This role is crucial in
ensuring the smooth operation of the Managing Director's office and will involve managing
schedules, coordinating meetings, handling confidential information, and acting as a liaison
between the Managing Director and internal/external stakeholders.
Key Responsibilities:
1. Administrative Support:
Manage the Managing Director's calendar, appointments, and travel
arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle confidential information with integrity and discretion.
2. Meeting Coordination:
Schedule, organize, and coordinate meetings, including preparing agendas and
taking minutes.
Ensure follow-up on action items from meetings.
3. Communication:
Act as the first point of contact for internal and external communications directed to the Managing Director.
Screen and prioritize emails, calls, and other forms of correspondence.
4. Project Management:
Assist in the management and coordination of special projects and initiatives.
Conduct research and compile data as needed.
5. Liaison Role:
Foster strong relationships with key stakeholders, including clients, partners, and staff.
Facilitate communication and collaboration across departments.
6. Office Management:
Oversee office operations related to the Managing Director's activities.
Manage expense reports, invoices, and budgeting related to the executive office.
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field preferred.
Proven experience (3-5 years) as an Executive Assistant, Personal Assistant, or in a similar role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Excellent written and verbal communication skills.
Strong organizational and time-management skills with the ability to multitask and prioritize.
High level of discretion and confidentiality.
Ability to work independently and as part of a team.
Professional demeanor and strong interpersonal skills.

Familiarity with project management tools and software.
