Position Overview:
The Executive Assistant to the Director will provide high-level administrative support to the Director. This role requires exceptional organizational skills, the ability to handle multiple priorities, and a proactive approach to problem-solving. The ideal candidate will be highly professional, discreet, and capable of working independently.
Key Responsibilities:
• Administrative Support:
• Manage and maintain the Director's schedule, including arranging appointments, meetings, and conferences.
• Coordinate travel arrangements, including flights, accommodations, and itineraries.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Communication:
• Serve as the primary point of contact between the Director and internal/external stakeholders.
• Screen and prioritize incoming communications, including emails, phone calls, and messages.
• Draft, proofread, and edit documents and communications as required.
• Meeting Coordination:
• Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
• Ensure all meeting materials are prepared and distributed in advance.
• Handle logistics for meetings, conferences, and events.
• Project Management:
• Assist with the planning and execution of special projects and initiatives.
• Track project progress and provide regular updates to the Director.
• Conduct research and compile data as needed.
• Office Management:
• Maintain office supplies and equipment; ensure a well-organized workspace.
• Handle confidential and sensitive information with discretion.
• Perform other administrative duties as assigned.
Qualifications:
• Education and Experience:
• Bachelor's degree preferred.
• Minimum of [X] years of experience as an Executive Assistant or in a similar role.
• Skills and Abilities:
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
