About the Role:

We are seeking a dedicated and detail-oriented Documentation Executive to join our team at Aries Overseas Services. The role involves managing the entire documentation process, ensuring timely application tracking, compliance with regulations, and efficient communication with stakeholders. This position is crucial for the smooth functioning of our operations by optimizing processes and ensuring all documents are accurately maintained and up-to-date.

Key Responsibilities:

1. Application Status Tracking:

Monitor and update the status of applications throughout the recruitment process.

Coordinate with internal teams and external stakeholders to ensure timely progress and resolve any delays or issues.

2. Documentation Management:

Track and manage essential documentation, including certificates, licenses, and other paperwork.

Ensure all documents are accurate, complete, and comply with necessary standards and requirements.

3. Process Optimization:

Identify areas for improvement within the documentation workflow.

Implement process changes to enhance efficiency, accuracy, and turnaround time.

4. Compliance Management:

Ensure compliance with relevant regulations and standards related to documentation.

Stay updated on any changes to compliance requirements and modify processes accordingly.

5. Interaction with Delegates:

Communicate with delegates to gather necessary documents and address any queries regarding the documentation process.

Provide clear guidance and support throughout the entire documentation process.

Qualifications & Skills:

Bachelor's degree or equivalent experience in a relevant field.

Proven experience in documentation management, overseas recruitment, or a similar role.

Proficiency in Microsoft Office Suite and other relevant software applications.

Strong organizational skills with excellent attention to detail and accuracy.

Excellent communication and interpersonal skills to interact with internal teams, delegates, and clients.

Familiarity with overseas recruitment processes and compliance requirements is a plus.

Ability to work independently as well as collaboratively in a team environment.

Strong problem-solving and analytical skills to handle challenges effectively.
