The Documentation Coordinator is responsible for managing, organizing, and maintaining all documentation related to the company's operations, projects, and processes. This role ensures that all documents are accurate, up-to-date,. The Documentation Coordinator plays a crucial part in supporting the company's compliance, quality assurance, and knowledge management efforts.
Key Responsibilities:
Document Management:
• Create, manage, and organize both digital and physical documents.
• Ensure documents are properly stored, named, and categorized for easy retrieval.
• Maintain document control procedures to ensure accuracy and consistency.
Quality Assurance:
• Review and proofread documents for accuracy, completeness, and compliance with company standards.
• Ensure all documents meet regulatory and legal requirements.
Collaboration and Communication:
• Collaborate with various departments to gather information and ensure document accuracy.
• Facilitate the flow of information within the organization by distributing relevant documents to appropriate stakeholders.
• Act as the point of contact for document-related inquiries and issues.
Compliance and Audit Support:
• Ensure documentation practices comply with industry standards and regulations.
• Support internal and external audits by providing necessary documentation and ensuring its accuracy and completeness.
Training and Support:
• Provide training and support to employees on document management systems and best practices.
• Develop and update training materials as needed.
Continuous Improvement:
• Identify opportunities for improving documentation processes and systems.
• Implement best practices and new technologies to enhance document management efficiency.
Qualifications:
• Bachelor's degree in Business Administration, Information Management, or related field.
• Minimum of 2-3 years of experience in documentation management, administrative support, or related roles.
• Experience with document management systems (DMS) and software.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Attention to detail and a high level of accuracy.
• Proficiency in Microsoft Office Suite and other relevant software.
• Ability to work independently and as part of a team.
• Knowledge of regulatory requirements and industry standards related to documentation.
Requirements:
• Expect the candidates with experience in manufacturing industries which related to Electrical/Electronics/Automation documentation export and upload field
• Candidates must have good communication with higher officials, customers and internal departments
• Expect the candidates immediate joining and Local candidates (Near Hopes/Singanallur- Coimbatore)
• Must have experience in online portal update/Export/Import documents preferably- Government portals
• Language- Malayalam must
