The Document Processing Executive will be responsible for efficiently managing and processing a variety of documents remotely. This role requires individuals who are detail-oriented, self-motivated, and have excellent organizational and communication skills. The role involves working with digital documents, verifying data, and ensuring accurate processing in compliance with company policies and industry standards.Key Responsibilities: * Document Management:

  • Receive, review, and categorize a variety of documents, including invoices, contracts, reports, and other business-critical information.
  • Scan, upload, and organize physical and digital documents into the companys document management system (DMS).
  • Ensure all documents are categorized appropriately for easy retrieval and reference.
  • Data Entry & Verification:
  • Enter relevant data from the documents into appropriate systems, databases, or spreadsheets.
  • Ensure data accuracy by verifying the correctness of information, checking for discrepancies, and rectifying errors.
  • Review data entry for completeness, accuracy, and consistency.
  • Quality Control:
  • Regularly perform checks to ensure that all documents and data are processed according to the company's quality standards.
  • Flag any errors, discrepancies, or issues in documents or data and work to resolve them promptly.
  • Maintain and improve document processing procedures to reduce errors and enhance efficiency.
  • Collaboration:
  • Work closely with other team members and departments to ensure smooth document flow and processing.
  • Communicate effectively with internal teams, clients, or external vendors to clarify document requirements and resolve issues.
  • Document Storage & Archiving:
  • Ensure proper storage and archiving of documents in accordance with company guidelines and regulatory requirements.
  • Maintain confidentiality and security of sensitive information by following data protection policies and standards.
  • Time Management & Reporting:
  • Prioritize tasks to meet deadlines while maintaining high accuracy levels.
  • Provide regular updates to management on processing status and any potential issues.
  • Maintain productivity and performance metrics as per company requirements.
  • Customer Support (if applicable):
  • Respond to any inquiries from clients regarding the status of document processing or data entry.
  • Address client concerns with professionalism and efficiency.
Required Skills & Qualifications:
  • Education: Minimum high school diploma; a bachelors degree in business, administration, or related fields is a plus.
  • Experience: Prior experience in document processing, data entry, or administrative work is highly desirable.
  • Technical Skills:
  • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and cloud-based document management systems.
  • Knowledge of document management systems (DMS) and experience working with digital files is an advantage.
  • Strong typing skills (minimum of 40 WPM with accuracy).
  • Soft Skills:
  • Strong attention to detail with a high level of accuracy.
  • Excellent organizational and time-management skills.
  • Ability to work independently with minimal supervision.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and manage sensitive data.
