Retrieve files as requested by employees and clients
Manage the flow of documentation within the organization
Maintain confidentiality around sensitive information and terms of agreement
Prepare ad-hoc reports on projects as needed
Documentation Strategy: Develop and implement documentation strategies that align with Rieco Industries\' business objectives and meet industry standards.
Team Management: Lead a team of Technical Writers and Documentation Specialists, providing guidance, training, and performance evaluations.
Documentation Standards: Establish and enforce documentation standards, style guides, and templates to ensure consistency and clarity across all documents.
Documentation Lifecycle: Oversee the entire documentation lifecycle, from initial concept and drafting to review, approval, publishing, and maintenance.
Quality Assurance: Conduct regular reviews and audits of technical documentation to ensure accuracy, completeness, and relevance.
Stakeholder Collaboration: Collaborate with cross-functional teams, including product managers, engineers, and subject matter experts, to gather technical information and ensure alignment with documentation goals.
Document Control: Implement a robust document control system to manage revisions, updates, and version control.
Training and Development: Identify training needs for the documentation team and provide or facilitate training programs to enhance skills.
Continuous Improvement: Continuously assess and improve documentation processes, tools, and workflows for greater efficiency and effectiveness.
Compliance: Ensure that documentation complies with industry regulations and standards, as well as internal policies.
Skill sets/Additional requirements:
Graduate in any discipline. Preferably 3 to 5 years minimum relevant experience of Document controller
Proven work experience as a Document Controller or similar role
Familiarity with project management
Basic knowledge of labor and corporate law
Hands-on experience with MS Office and MS Excel
Knowledge of Electronic Document Management Systems (EDMS)
Proficient typing and editing skills
Data organization skills
Competency in standard office computer programs including the Microsoft Office Suite (Office 365), Adobe Acrobat, WinZip, Volo View, Web-based Client Portals
Experience with Document Management software\'s like Relatics, SharePoint, Aconex, or Documentum, Web based software.
Also, knowledge of Industrial Financial Services (IFS), DocPoint, SharePoint, AutoCAD, GloBus Teamcenter will be added advantage \xef\xbf\xbd
The candidate should have good English communication (verbal & written) & Interpersonal skill to Expedite with supplier/project engineer to meet the due dates.
Should have high level of concentration and attention to details and accuracy of data, numbers and titles being entered into the system.
Experienced in managing/coordinating projects remotely in a globally distributed setup.
Strong soft personal skill i.e. team player, quick learner, ability to adapt quickly & effectively etc.
Cooperation: Document Controllers shall cooperate with Lead DC in all work related to Document Management activities to ensure that quality, routines, procedures, and work instructions are met according to project as well as internal requirements.
