Job Summary:
The Export Dispatch Documentation Officer is responsible for preparing and managing all necessary documentation for the export of pharmaceutical machines. This role ensures timely, accurate, and compliant dispatch of goods to international clients. The officer will liaise with shipping, customs authorities, and internal departments to ensure smooth export operations.
Key Responsibilities:
• Export Documentation:
• Prepare and review all required export documents, including commercial invoices, certificates of origin, bills of lading, export permits, and letters of credit.
• Ensure all documentation complies with international trade laws and regulations.
• Coordinate with freight forwarders, customs brokers, and shipping agents for proper document handling and dispatch.
• Coordination and Communication:
• Liaise with the sales, and production teams to ensure the timely dispatch of machinery orders.
• Communicate with customers, ensuring they are informed about dispatch schedules, documentation requirements, and potential delays.
• Coordinate with customs and shipping companies to resolve any issues related to export documentation.
• Export Compliance:
• Ensure compliance with the specific pharmaceutical export requirements, including documentation standards and regulatory compliance.
• Stay updated on international trade regulations, customs duties, and tariffs in different countries to ensure smooth and timely shipments.
• Verify the accuracy of shipping and import/export codes and classifications.
• Record Keeping:
• Maintain an organized database of all export records, ensuring that all documents are filed and easily accessible for future reference.
• Prepare and submit reports on export dispatches, shipments, and any related issues.
• Qualifications and Skills:
• Education:
• Bachelor's degree related field.
• Experience:
• Minimum 2-3 years of experience in export documentation, or international trade, preferably in the pharmaceutical or machinery industry.
• Knowledge of pharmaceutical regulations and machinery export processes is an advantage.
• Skills:
• Strong knowledge of export documentation, including customs declarations, letters of credit, and shipping documents.
• Attention to detail with excellent organizational and communication skills.
• Ability to work under pressure and meet tight deadlines.
• Proficiency in Microsoft Office Suite and export documentation software.
• Fluency in English (additional languages may be beneficial, depending on export markets).
