POSITION GOALS To provide comprehensive transition (implementation)management services to the IFM business, covering all aspects ofdelivery to ensure a smooth transition to Jones Lang LaSalle. Toachieve financial and other targets established as part of eachTransition.Each Transition Manager is designated a specific region (NorthAsia/ South Asia/ West Asia and Australasia). However, eachtransition manager is expected to assist other regions as workloaddictates.DUTIES & RESPONSIBILITIES The Transition Manager must be a team player and work withother members of the IFM business to meet all key performanceindicators required from each Transition.Key Responsibilities Include: oOverall management of transitions which have Regional orStrategic importanceoUse of the standard transition tools to effectively manage asuccessful transitionoUpdate the appropriate transition plan and tracking tool for eachtransition to ensure it is client specific and it is circulated on aperiodic basis to all key stakeholdersoDevelopment of key protocols for each Transition (comms,meetings etc)oCoordination and control of resources required to completeeach Transition, including, but not limited to: oHuman ResourcesoHelp DeskoPlanned MaintenanceoVendor ManagementoInformation Systems (One View/ Reporting etc)oManagement AgreementoPerformance IndicatorsoService Level AgreementsoPolicies and ProceduresoFinancial Management (including relevant systems)oLease AdministrationoClient Specific Requirements T8101_Transition Manager_Position Description_Mar14_V6.doc2 of 3oEnsure all functional specialist leads activity participate duringthe Transition and provide required informationoCommunicate to all IFM Country leads the Transition and yourrequirements for their involvementoConduct Transition Workshops with each new clientoConstantly communication to all Key Stakeholders throughouteach transition through the use of Transition BulletinsoOversee Project Management, Lease Administration andCommercial Markets Transitions if they form part of a 3XIntegration Account (i.e. service offering of more than onebusiness line)oWork with Business Development to close out all outstandingManagement Agreement issues, including performanceindicators and terms and conditions (work with Legal to closeout)oEnsure an effective handover brief from Business Developmenttakes place for each Regional and/ or Strategic TransitionoActively undertake functional work where a business resourceis not availableoWork with IT to ensure all Information Systems areimplemented, including system access, e-mail and passwordrequirements.oEnsure a OneView site has been established for each Account- including the completion of he Knowledge Plan andFramework for the site establishmentoEnsure the completion of all data templatesoAssist HR is the recruitment and selection of key personneloAssist the Help Desk by completing the relevant data loadersand confirmation of all property detailsoWork with the Nerve Centre to ensure the implementation of allplanned maintenance and compliance activitiesoTender for new services during transition as requiredoEstablishment of Account specific policies, procedures andworkflows as requiredoProvide Transition budgets to business development forinclusion in proposalsoEffectively monitor and manage the Transition within budgetoEstablish the necessary Transition Cost Code for eachTransitionoWork with local finance to finalise all billing requirementsoProvide Transition information to Business Development andSTART as requiredoParticipate in Client Presentations as requiredoAssist other Transition Managers where workload dictatesoParticipate in regular regional Transition meetings to discusscurrent workloads, processes and pipeline workoManage multi Transitions at any one timeoEnsure each Transition is closed out by issuing a SatisfactionSurvey to the client and/ or Account teamKEY PERFORMANCE MEASURES oTransition Surveys -
