We are seeking a highly organized, detail-oriented, and tech-savvy Marketing Associate to implement our marketing strategy.
You will be the central operator behind our content pipeline, social campaigns, event logistics, A/B testing, and CRM automation. This is a mission-critical execution role, not just data entry.
KEY RESPONSIBILITIES
1. Content & Social Media Support
Schedule and publish 3-4 posts per week across YouTube, LinkedIn, Instagram, and Facebook
Upload blog content, videos, newsletters, and white papers to the website and HubSpot
Repurpose long-form content into short-form clips, reels, quotes, carousels, and audiograms
Use Canva or branded templates to create polished visual assets
Maintain a 30-day rolling content calendar and align with campaign goals
2. Podcast & Video Support
Book and coordinate guest interviews for Apta's podcast and YouTube series
Send pre- and post-interview communications, assets, and scheduling links
Upload episodes to podcast platforms and YouTube with optimized titles, descriptions, and thumbnails
Post podcast recaps and transcripts to the website
Create and schedule short-form promotional content (reels, YouTube Shorts, audiograms)
3. Lead Generation & Research
Research surgical centers and gather physician contact info (name, email, title, location)
Maintain and update the podcast tour tracking spreadsheet
Research podcasts for guest appearances and manage outreach and follow-ups
Coordinate logistics and schedules for podcast appearances and guesting
Support on-site and event-based lead capture (dinners, conferences, QR code tracking)
4. Marketing Admin & Campaign Execution
Build and launch campaigns in HubSpot (email, forms, workflows, and sequences)
Segment contact lists and maintain CRM hygiene
Run A/B tests on subject lines, landing pages, and CTAs
Upload and QA campaign content, including newsletters, announcements, and event invites
Support design and coordination of lead magnets, eBooks, and content upgrades
5. Reporting & Optimization
Track open rates, CTRs, and conversions across campaigns and platforms
Run weekly performance reports and recommend optimizations
Identify best-performing content formats, post times, and messaging
Maintain dashboards to monitor lead flow and funnel performance
Tag and archive marketing assets for future reuse
6. SEO & Website Optimization
Apply SEO best practices to all blog posts, podcast summaries, and landing pages
Implement keyword research and on-page optimization (headings, metadata, links)
Collaborate with the content team or freelancers for link building and external placements
Maintain campaign-specific landing pages via WordPress
Build landing pages, update and maintain website content, including blogs, bios, landing pages, and event listings
Ensure all website content is accurate, branded, and optimized for SEO
Coordinate with design team to upload graphics, videos, and downloadable assets
Monitor and report on broken links, outdated content, or formatting issues
7. Event & Investor Engagement Logistics
Coordinate logistics for conferences, investor dinners, and virtual events
Research and book travel arrangements for key team members
Track RSVPs, confirmations, and special requests
Maintain branded inventory (books, welcome boxes, pens, flyers) and ensure timely delivery
Draft and send thank-you emails, feedback requests, and follow-ups
8. Marketing Infrastructure & Internal Support
Maintain all SOPs, templates, and brand guidelines
Monitor shared inboxes (email and social media) and draft/provide responses as needed
Keep project plans updated in Notion or project management tools
Organize content and assets in shared folders for fast access and use
REQUIREMENTS
3+ years of marketing coordination or virtual admin experience
Proficiency in HubSpot, Google Workspace, Canva, Meta Business Suite, and CMS platforms (WordPress, Squarespace)
Experience with A/B testing and basic analytics tools
Strong written communication and high attention to detail
Comfortable coordinating across multiple platforms and collaborating with internal/external teams
Bonus: Familiarity with Doximity, YouTube Studio, Notion, Slack, and SEO tools
