This role is pivotal in ensuring the SVP's schedule and priorities are managed seamlessly, allowing them to focus on strategic initiatives and overall business growth. The ideal candidate is a detail-oriented individual with excellent communication skills, who thrives in a fast-paced, high-stakes environment.Key Responsibilities

  • Calendar and Schedule Management
  • Coordinate and manage the SVP's calendar, scheduling meetings, appointments, and events with internal and external stakeholders.
  • Proactively identify and resolve scheduling conflicts, ensuring efficient use of the SVP's time.
  • Communication and Correspondence
  • Serve as the primary point of contact between the SVP and other departments, clients, and partners.
  • Draft, review, and edit emails, reports, and other correspondence as needed.
  • Maintain confidentiality and professionalism in handling sensitive information.
  • Meeting Coordination and Preparation
  • Prepare agendas, presentations, and briefing materials for meetings.
  • Record and distribute meeting minutes, ensuring follow-up on action items.
  • Arrange logistics for in-person and virtual meetings, including room setup, tech support, and refreshments.
  • Travel Arrangements
  • Plan and organize domestic and international travel, including flights, accommodations, and itineraries.
  • Process travel expense reports and manage reimbursements in a timely manner.

  • Project Support
  • Assist with various projects, often handling research, data analysis, and initial preparation of materials.
  • Coordinate with other departments to gather required data and ensure project deadlines are met.
  • Administrative Tasks
  • Handle invoice processing, track expenses, and maintain budget records for the SVP's office.
  • Oversee filing systems, maintain office supplies, and manage other administrative needs.
  • Special Projects and Ad-hoc Tasks
  • Participate in cross-functional projects, and occasionally lead smaller initiatives on behalf of the SVP.
  • Execute other ad-hoc tasks as needed to support the SVP's day-to-day operations.
