Job Title : Data Entry Operator / Computer Operator Job Summary :
The Data Entry Operator / Computer Operator is responsible for entering, updating, and maintaining data in computer systems, databases, and spreadsheets. This role ensures accuracy, efficiency, and integrity of the data while performing general administrative and clerical duties as required. The position may also involve operating computer systems and related equipment for a variety of functions, including file management, report generation, and system updates.
Key Responsibilities :
• Data Entry and Management :
• Accurately input data into computer systems, databases, or spreadsheets.
• Update and maintain databases with current information.
• Perform data validation to ensure accuracy and completeness.
• Organize and categorize data for easy retrieval and use.
• Verify and correct any discrepancies in the data.
• Computer Operation :
• Operate computer systems and software applications for routine tasks.
• Run reports, update files, and monitor system operations.
• Troubleshoot minor system issues or escalate them to IT support as needed.
• Back up and restore data to ensure business continuity.
• Document Management :
• File and store physical and electronic documents.
• Retrieve, print, and deliver documents as required.
• Ensure document confidentiality and secure storage.
• General Administrative Tasks :
• Assist in clerical tasks such as answering calls, filing, and handling correspondence.
• Prepare reports, presentations, or other materials for team members or management.
• Maintain office equipment and ensure it is functioning properly.
• Data Reporting and Analysis :
• Generate routine data reports for internal and external stakeholders.
• Identify patterns or trends in data and provide insights to supervisors.
• Communication :
• Communicate effectively with team members, supervisors, and other departments.
• Respond to inquiries regarding data, documents, and reports.
Skills and Qualifications :
• Education : High school diploma or equivalent; a degree or certification in computer science, information technology, or a related field is preferred.
• Experience : Previous experience in data entry, computer operation, or administrative support is advantageous.
• Technical Skills :
• Proficiency in MS Office (Excel, Word, PowerPoint) or similar software.
• Knowledge of database management systems (e.g., SQL, Access) is a plus.
• Familiarity with data entry tools and software.
• Attention to Detail : Ability to spot errors and ensure data integrity.
• Typing Skills : High typing speed with accuracy (e.g., 40-60 words per minute).
• Communication Skills : Strong written and verbal communication abilities.
• Organization : Ability to manage multiple tasks efficiently and prioritize workloads.
• Problem-Solving : Capable of identifying and addressing minor issues with systems or data.
Working Conditions :
• Location : Office or remote, depending on company needs.
• Work Hours : Typically full-time, 9 AM to 5 PM, Monday to Friday (flexible hours may be possible in some cases).
