The Data Entry Operator is responsible for accurately entering, updating, and managing construction project data, financial records, inventory, and other essential documentation in various software applications. This role ensures the efficient and timely processing of data, contributing to the seamless operations of the construction business.
Key Responsibilities:
Data Entry & Maintenance:
Accurately input data related to construction projects, including estimates, budgets, procurement, and materials.
Ensure all data is up-to-date, error-free, and properly filed in the system for easy access.
Update project schedules, labor data, material usage, and cost records.
Document Management:
Maintain project files (both physical and digital) in an organized manner.
Ensure that all incoming and outgoing documents are recorded and tracked.
Assist in preparing and formatting project reports, invoices, purchase orders, contracts, and other essential paperwork.
Inventory Management:
Enter and track the inventory of construction materials and equipment.
Assist in the preparation of material requisitions and order reports.
Ensure that stock records are regularly updated and accurate.
Data Verification & Quality Control:
Cross-check data entries for accuracy, completeness, and consistency.
Verify project reports and financial data against original documents or source materials.
Follow company procedures to correct discrepancies or errors in the records.
Communication & Coordination:
Communicate with various departments (e.g., finance, procurement, project management) to ensure smooth data flow.
Coordinate with suppliers and vendors to verify order and delivery details.
Software Proficiency:
Use software like Microsoft Excel, MS Word, and specialized construction project management tools to input and process data.
Maintain knowledge of industry-specific data management tools and software.
Reporting:
Assist in preparing daily, weekly, and monthly progress reports for management.
Help in generating reports for financial tracking and project timelines.
Skills & Qualifications:
Education:
Bachelor's degree or equivalent
Experience:
Proven experience as a data entry operator, administrative assistant, or similar role, preferably in the construction or related industry.
Technical Skills:
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other data entry software. Experience with project management tools (e.g., Procore, Buildertrend) is a plus.
Attention to Detail:
High level of accuracy and attention to detail when entering and processing data.
Time Management:
Ability to manage time efficiently, meet deadlines, and handle multiple tasks at once.
Communication:
Strong written and verbal communication skills to interact with internal and external stakeholders.
Problem-Solving:
Ability to identify and resolve discrepancies in data, and propose solutions for improvements in data handling.
