Summary:The department role is to coordinate, develop, and execute all client/sponsor contracts and change orders for newly awarded and on-going projects at Symphony Health am ICON Clinical Research Company.
The role of the Contracts Coordinator is to assist the Symphony legal and contracts group in the preparation of contracts (MSAs, SOW and License Agreements) and change orders for client/sponsor projects. The Contracts Coordinator role is to maximize the efficiency of legal and contracts group and provide value to other departments through administrative and support activities.What you will be doing:Contract/Change Order Development:

  • Obtain authorized signatures for contractual documents in a timely matter.
  • Scan, post, and notification of fully-executed contractual documents on a daily basis.
  • Tracking and follow up of partially executed documents through to full execution.
  • Create weekly, bi-weekly, monthly and ad-hoc reports along with special projects for Legal.
  • Maintain Client Contract Services and Master Services Agreement database storage systems.
  • Assist in the development, improvement, and maintenance of departmental tracking tools and systems.
  • Assist Contract Analysts and Associates and Legal Associate and Counsel in preparation of contracts and change orders, along with costing grids or project analysis as needed.
  • Responsible for departments administrative tasks as requested by Legal and Contracts including cost effective stationary supplies management and archiving.
Quality/ Relationships:
  • Work with counterparts to ensure standardization and consistency of processes for the Legal and Contracts group.
Communication:
  • Coordinate sponsor communication with the Contract Analyst/Associate and Legal Associate/Counsel for partially and fully executed documents.
  • Coordinate and organize meetings (internal and external), assist with and distribute meeting agendas, and draft/finalize and distribute meeting minutes as requested.
Process Improvement:
  • As a member of staff, the employee is expected to embrace and contribute to our culture of process improvement with a focus on streamlining our processes adding value to our business and meeting client needs.
Travel:
  • Travel (approximately 0%) domestic and/or international.
Other:
  • To undertake other reasonably related duties as may be assigned from time to time.
Your Profile:
  • A graduate with 1 year of experience in an administrative/coordinator role
  • Hands-on experience with MS Office tools, particularly excel, word and PowerPoint
  • Familiarity with Power BI or other data analysis/reporting tools is an added advantage
  • Prior experience as an executive assistant is a plus
  • Excellent written and verbal communication skills
  • Experience working with a legal ticketing system or similar workflow management tools is preferred
  • Ability to work in a team independently and as part of a team in a fast-paced environment
