Job Overview:
The Back Office Executive plays a critical role in supporting daily operations and ensuring smooth functioning of the business. The role involves administrative tasks, data entry, record management, and assisting front-office teams to enhance operational efficiency.
Key Responsibilities:
Data Entry and Management: Accurately enter, update, and maintain company records, databases, and spreadsheets.
Document Handling: Organize and manage company documents, including invoicing, contracts, and other paperwork.
Communication Support: Handle internal communication between departments and assist with customer inquiries, where applicable.
Reporting: Prepare regular reports related to operational processes, inventory, sales, or other specific functions as required.
Inventory Management: Maintain and track inventory, ensuring stock levels are managed efficiently.
Customer Support: Assist customer service teams in resolving issues or updating client information.
Process Improvement: Suggest and implement improvements in administrative processes to increase efficiency and accuracy.
Database Management: Ensure the company's data and records are secure, organized, and up to date.
Skills and Qualifications:
Education: High school diploma, bachelor's degree preferred.
Experience: 1-3 years of experience in administrative or back-office roles (preferred).
Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook), and knowledge of office management systems (CRM, ERP systems, etc.).
Organizational Skills: Strong ability to manage multiple tasks, prioritize, and meet deadlines.
Attention to Detail: High level of accuracy in data entry, document handling, and reporting.
Communication Skills: Good written and verbal communication skills to interact with teams and clients.
Problem-Solving: Ability to identify issues and propose effective solutions.
Working Conditions:
Office-based role with standard working hours (Monday to Friday, 9 AM - 6 PM)
Some flexibility in work hours may be available based on business requirements.
