About Us: Mindshaft Media Pvt Ltd is a dynamic and innovative advertising agency dedicated to delivering creative and impactful marketing solutions. We are seeking a dedicated and detail-oriented Client Coordinator to join our finance team. The ideal candidate will have exceptional communication skills and advanced proficiency in Excel, ensuring seamless payment follow-ups and financial coordination with our clients.

Key Responsibilities:

• Client Communication: Serve as the primary point of contact for clients regarding payment follow-ups, billing inquiries, and account reconciliation. Ensure timely and professional communication with clients via email, phone, and in-person meetings.
• Payment Follow-up: Monitor and manage outstanding invoices, ensuring timely collection of payments. Prepare and send reminders and statements to clients, and follow up on overdue accounts.
• Advanced Excel Usage: Utilize advanced Excel skills to create, maintain, and analyze financial reports, spreadsheets, and databases. Generate accurate and comprehensive reports for internal and external stakeholders.
• Account Reconciliation: Assist in reconciling client accounts, resolving discrepancies, and ensuring accurate financial records. Collaborate with the finance team to ensure all transactions are accurately recorded.
• Documentation: Maintain organized records of client communications, payment agreements, and financial transactions. Ensure all documentation is up-to-date and easily accessible.
• Customer Service: Provide exceptional customer service by addressing client concerns promptly and professionally. Resolve any payment-related issues and escalate complex cases to the appropriate team members as needed.
• Collaboration: Work closely with the finance team to support overall financial operations. Collaborate with other departments to ensure seamless client experiences and resolve any inter-departmental issues.

Qualifications:

• Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
• Proven experience in client coordination, payment follow-up, or a similar role within a finance team.
• Advanced proficiency in Microsoft Excel, including the ability to create complex formulas, pivot tables, and charts.
• Strong communication skills, both verbal and written, with the ability to interact professionally with clients and internal teams.
• Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
• Problem-solving abilities and a proactive approach to resolving issues.
• Ability to work independently and as part of a team in a fast-paced environment.
• Familiarity with financial software and accounting principles is a plus.
