This role requires you to develop and optimise company-wide processes to enhance productivity, manage risk, and drive growth and profitability. Essentially it is acting as the CEO's right hand, where the role will require you to orchestrate all activities with authority and precision, ensuring the CEO's presence is integrated effectively across all departments. This position offers a unique opportunity to work closely with the Managing Director (MD) and play a crucial role in driving IT initiatives, managing projects, and enhancing departmental efficiency. Job Responsibilities
• Project Management and Reporting: Manage project progress, provide regular updates to the CEO, and ensure project deliverables meet expectations. Review and send communications on behalf of the CEO. Conduct research, gather data, and prepare reports to support strategic decision-making.
• Performance Management: Regularly monitor and report key metrics, set KRAs (Key Result Areas), and implement strategies to optimise team productivity.
• Founders' Support: Assist with research, data analysis, and special projects as required by the CEO and founders. Take ownership of special projects and strategic initiatives, creating project plans, setting timelines, and ensuring effective execution.
• Executive Meeting Preparation: Prepare comprehensive materials for executive meetings, ensuring all relevant information is readily available.
• Strategic Partnership: Engage in quarterly business planning alongside the CEO, providing insights across all sectors (Technical, Business, Finance, Operations, etc.). Help coordinate and manage IT projects, including tracking progress, setting deadlines, and ensuring that deliverables are met.
• Project Leadership: Spearhead high-priority initiatives for the Board, driving process improvement and resolving cross-functional bottlenecks. Quickly grasp the organisational structure and team objectives to provide seamless support.
• Cross-Functional Collaboration: Facilitate collaboration among CXOs (Chief Experience Officers) and various departments to achieve project milestones and goals.
• Industry Awareness: Stay updated on industry trends, competitors, and relevant developments to provide valuable insights.
• Executive Briefing: Develop clear and concise briefing materials, talking points, and presentations for key meetings and engagements.
• Business Planning and Development: Develop detailed business plans to drive both incremental and transformative change. Help identify and secure industry events, speaking, and networking opportunities for the CEO.
• Meeting Management: Record discussions, track action items, and ensure efficient meeting management.
• Confidentiality and Discretion: Handle sensitive information with utmost professionalism and discretion.
Skills and Qualifications:
• Adaptability to a High-Pressure Environment: Thrives in fast-paced environments and demonstrates composure under pressure.
• Audit Expertise: Conduct audits on behalf of the CEO, ensuring adherence to standards.
• Organisational and Collaboration Skills: Maintain a well-organised schedule and effectively manages cross-functional collaboration. Familiarity with IT project management methodologies (e.g., Agile, Scrum).
• Documentation and Monitoring: Prepare clear and concise process documentation (flowcharts, outlines) and have advanced skills in MS Office uite and other. Minimum of 1 year of experience in a technology-related role or as a project coordinator.productivity tools.
• Attention to Detail: Demonstrate exceptional attention to detail and meticulousness in all tasks by identifying bottlenecks and areas for optimisation.

• Project Management: Experience with project coordination, including deliverable/milestone tracking, risk management reporting, and status update reporting (preferred).
• Research Analytical Skills: Conduct research and synthesise findings into actionable recommendations. Possess strong analytical skills with a talent for data collection and analysis.
