Job Description


VMVOA JOB PROFILE CARETAKER Working Days Monday to Saturday (all week with the exemption of national and public holidays) Working Hours 0900 to 1800 WATCH AND VIGIL

  • Go around the whole complex, for overall inspection, report to Secretary or President.
  • Monitor Security Punching System on a daily basis and ensure night patrol is carried out as per schedule.
  • Check and Maintain CCTV systems and monitor video recordings. Report any suspicious incidents to President & Secretary immediately.
  • Supervision of all security aspects of the community.
  • Supervise all security staff, their duty hours, absenteeism etc.
  • Day-to-day security staff activities management.
  • Monitoring all Gate Passes \xe2\x80\x93 both temporary and permanent \xe2\x80\x93 and keep watch of its expiry and renewals.
  • Log book is properly maintained and any entries other than owners or tenants are recorded with their time in and out.
  • Any suspicious/ hazardous persons or activities are prevented from entering in to the community premises and such incidents are immediately reported.
  • Maintain attendance log book for all temporary or permanent workers/ contract laborer\xe2\x80\x99s employed by the association.
ADMINISTRATIVE AFFAIRS
  • Check VMVOA email account daily and attend to any queries or concerns from owners. Address any concerns that requires attention of Executive Committee and report to President or Secretary for any actions to be taken.
  • Ensure adherence to the Rules of the community to any permanent/ temporary workers or visitors permitted for construction activities in individual villas/ common properties.
  • Ensure workers or entering the community are allowed by the owners/ tenants of respective villas.
  • Monitor any construction work in the common areas and report its daily progress to the President or Secretary of VMVOA.
  • Ensure that such construction works, whether or not carried out by the association, are not causing unreasonable disturbance to the neighboring houses.
  • Ensure that night time construction is controlled in strict terms and any such works carried out beyond 1800 hours is brought to the notice of the President or Secretary.
  • Distribution of Utility Bills, Circulars etc to the residents/ owners.
  • Clubhouse Management: Control clubhouse key issuance working with security, Allotment of club house for private functions in consultation with Clubhouse management Chair (refer Clubhouse Rules and Regulations Document).
ACCOUNTS
  • Coordinate with Accounts Officer and Treasurer to maintain books of accounts of the association
  • Hand over details of expenses along with bills and vouchers.
  • Maintains register of all the dues by each villa.
  • Disperse salary cheques signed by the office bearers to the staff respectively.
NEW TENANT ENLISTMENT
  • Ensure new tenants occupy villas only with proper permission from the respective owners.
  • Collect their details like phone number, details of their occupation and occupancy details are collected. Such new tenant information shall be informed to the President/ Secretary and thus to Execom Committee.
  • Ensure that they are aware of the Monthly Maintenance Fees and the Rules and Best Practices of the Community.
PREMISES MAINTENANCE & UPKEEP
  • Ensure common areas are properly maintained and coordinate gardening activities with Works Assistant
  • Maintain record of all VMVOA assets and chart out a preventive maintenance plan with Chair \xe2\x80\x93 Preventive Maintenance
  • Oversee Waste Collection and Disposal Activities with employee assigned for it.
  • Maintains a stock register: an inventory of all the association belonging.
  • Coordinate any work/ maintenance activities of vacant villas, as instructed by the owner.
  • To be available in case of any exigency on behalf of the association.
FACILITATION
  • Facilitate AGM and other association meetings as per the instruction from Executive Committee or its members.
  • Assist in organizing cultural or sports activities in VMVOA as decided by the Execom.
  • Procurement of all materials, if needed and as appropriate, in order to make sure that maintenance activities are carried out seamlessly and without loss of work hours.
  • Help residents in the community to provide with references of useful services.
PAPERWORK, BOOK KEEPING & EXTERNAL LIAISONING
  • Liaison with bank on a day-to-day basis
  • Any documentation and liaising required for the association with municipalities, authorities or any other governing bodies
  • Proper maintenance, Indexing and book keeping of all association records.
MAKING BEST USE OF MYGATE APPLICATION
  • Co-ordinate with MyGate customer care and all appropriate staff are trained to use the application.
Job Type: Full-time Salary: 20,000.00 - 30,000.00 per month Schedule:
