Job Description

Role- Operations Desk Executive

Location- Ghitorni, New Delhi

Key Responsibilities:

• Fleet Management:
• Monitor the availability and allocation of vehicles in the company's fleet based on client needs and upcoming reservations.
• Coordinate regular vehicle maintenance, servicing, and inspections to ensure all cars are in good working condition.
• Ensure proper documentation for each vehicle (insurance, permits, maintenance records, etc.) is up-to-date.
• Booking Fulfillment:
• Ensure that all bookings are fulfilled on time, including arranging vehicle delivery and pick-up as per client schedules.
• Coordinate last-minute or urgent requests for vehicles from corporate clients.
• Assign drivers for bookings, based on client preferences or special requirements.
• Communication and Coordination:
• Act as a central point of contact for drivers, maintenance teams, and customer service executives to ensure smooth operation flow.
• Maintain regular communication with the reservation team to understand upcoming client requirements and adjust operations accordingly.
• Liaise with corporate clients to confirm any special instructions or requirements (e.g., specific vehicle models, additional features, or multi-day bookings).
• Issue Resolution:
• Address any issues related to vehicle breakdowns, late deliveries, or unforeseen problems during a rental period. Coordinate swift solutions, such as replacing vehicles or sending roadside assistance.
• Handle client complaints regarding operational aspects, ensuring timely and satisfactory resolutions.
• Vendor and Partner Management:
• Coordinate with third-party vendors, such as maintenance service providers, insurance companies, and fuel suppliers, to ensure seamless operation.
• Ensure that vehicle refueling, cleaning, and detailing are carried out before rentals.
• Driver Coordination:
• Assign and schedule drivers for rentals based on client preferences, availability, and operational needs.
• Ensure that drivers are well-briefed on client requirements, routes, and any special instructions.
• Track driver performance, punctuality, and customer feedback to maintain high service standards.
• Inventory and Resource Management:
• Track inventory of supplies such as GPS devices, child seats, and any other add-ons requested by clients.
• Ensure that vehicles are equipped with the necessary tools and accessories required by corporate clients, including paperwork, tracking devices, and safety equipment.
• Process Optimization:
• Analyze the current operational workflow and suggest improvements to streamline vehicle dispatch, reduce turnaround times, and increase efficiency.
• Implement procedures to minimize downtime for vehicles, such as scheduling regular maintenance during off-peak times.
• Reporting and Documentation:
• Maintain accurate records of all vehicle usage, service history, and driver performance.
• Prepare regular reports on fleet utilization, operational challenges, and client feedback for management review.
• Track and record expenses related to operations, such as fuel, maintenance, and repairs.
• Compliance and Safety:
• Ensure all operations comply with local transportation laws and corporate policies, including safety regulations.
• Oversee driver training on safety protocols and company procedures.
• Implement vehicle inspection processes to ensure safety and operational standards are maintained.

Skills and Qualifications:

• Organizational Skills: Strong organizational skills to manage a fleet of vehicles, coordinate with multiple teams, and ensure timely delivery.
• Problem-Solving: Ability to quickly resolve issues, such as vehicle breakdowns or delayed deliveries, in a way that minimizes client inconvenience.
• Communication Skills: Effective communication with internal teams (drivers, customer service, maintenance) as well as external vendors and clients.
• Time Management: Ability to manage and prioritize multiple tasks, especially during peak times or when urgent bookings arise.
• Technical Skills: Familiarity with fleet management software, GPS tracking systems, and other logistics tools.
• Attention to Detail: Meticulous record-keeping of vehicle maintenance, service schedules, and client requirements.
• Customer Service: A client-focused approach to ensure high levels of service and satisfaction.

Experience & Education:

• Education: A degree or diploma in business administration, logistics, or a related field may be preferred.
• Experience: Prior experience in operations, fleet management, or logistics, particularly within the car rental or transportation industry, is a significant advantage.
• Industry Knowledge: Understanding of corporate rental needs, vehicle types, service agreements, and operational challenges in the rental sector is beneficial.

Job Types: Full-time, Permanent

Pay: ?18,000.00 - ?25,000.00 per month
