Job Overview:
The Business Administrator for Real Estate is responsible for overseeing the operational, financial, and administrative functions within the real estate business. This role involves managing day-to-day operations, supporting business strategy, ensuring compliance with regulations, and optimizing operational efficiency. The ideal candidate will have excellent organizational, communication, and multitasking skills and will play a crucial role in ensuring smooth business operations in a real estate environment.
Key Responsibilities:
• Administrative Support:
• Coordinate and schedule meetings, property viewings, and events.
• Prepare and maintain real estate documentation, including contracts, agreements, and reports.
• Manage communication between clients, vendors, and internal teams.
• Financial Management:
• Assist with budgeting and financial planning for real estate projects and operations.
• Track expenses, invoices, and payments, ensuring timely processing.
• Prepare financial reports and summaries for management.
• Assist in the preparation of pricing strategies and market analysis.
• Compliance & Regulatory Support:
• Ensure all real estate transactions comply with local and federal laws and regulations.
• Maintain records of real estate transactions, licenses, permits, and contracts.
• Support the team in resolving compliance issues and audits.
• Property & Client Management:
• Assist in managing property listings, including online platforms and internal databases.
• Handle client inquiries, requests, and ensure a positive customer experience.
• Manage tenant relations, including lease agreements, renewals, and property maintenance requests.
• Project Coordination:
• Support in the coordination of real estate development or renovation projects.
• Liaise with contractors, suppliers, and stakeholders to ensure project timelines and budgets are met.
• Monitor project progress and assist in problem-solving when issues arise.
• Team Support & Communication:
• Provide administrative support to senior management and other departments within the real estate business.
• Coordinate team activities, ensuring all departments are aligned with the business goals.
• Assist in HR functions, such as onboarding new employees or contractors.
• Technology and Tools:
• Utilize CRM software, property management systems, and financial software to support daily operations.
• Maintain and update real estate listings, marketing materials, and reports.
Skills and Qualifications:
• Education: 12th's degree in Business Administration, Real Estate, or related field (preferred).
• Experience: Minimum 2-3 years of experience in an administrative or operations role within the real estate sector.
• Skills:
• Strong organizational and time management abilities.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Familiarity with property management software (e.g., MLS, Yardi, CoStar) and CRM systems.
• Excellent verbal and written communication skills.
• Ability to multitask and handle competing priorities.
• Strong analytical and problem-solving skills.
Work Environment:
• Office setting with occasional fieldwork required for site visits or property inspections.
• Occasional travel may be required depending on the real estate portfolio.
