Looking for a lady candidate to handle our office, administration and operations which includes the following job profile

• Managing the office Overseeing the day-to-day operations of the office, including maintaining common areas, organizing procedures, handling correspondence , Various report preparation , Answering telephones and emails, Good Command over written and spoken English, Familiarity with online marketing tools, including social media advertising, email marketing, SEO and SEM, Assist in the management of day-to-day ecommerce operations , Utilize advanced Excel skills for data analysis and reporting.
• Managing resources Ensuring the office has the necessary supplies, equipment, and facilities, including ordering supplies, scheduling maintenance, and addressing issues
• Managing finances Handling financial tasks such as budgeting, invoicing, expense tracking, payroll, and reimbursements
• Opening and Closing: Open the office at the start of the business day and secure it at the end of the day, including managing all aspects of office security.
• Employee Records: Maintain accurate and confidential employee records, including attendance, leave, and personal information
• Employee Support: Address employee inquiries and concerns, and escalate issues to the Director or HR department as necessary.
• Operations & Logistics Coordination : Oversee inventory, order processing, and shipping for e-commerce, ensuring timely delivery. Coordinate with suppliers, fulfillment centers, and NGO project teams to align timelines and resources for seamless operations.
• Customer Service & Community Relations : Manage customer inquiries, returns, and complaints for the e-commerce side while also engaging with donors, volunteers, and community members for the NGO. Ensure prompt, professional communication, enhancing user satisfaction and building donor and partner relations.
• Sales, Marketing, & Community Engagement : Assist with online promotions, content creation, and updating e-commerce listings. Coordinate outreach initiatives, manage social media, and produce newsletters to engage both customers and the NGO's community.
• Volunteer, Vendor, & Partner Coordination : Communicate with vendors, suppliers, and fulfillment partners while also coordinating volunteer recruitment, training, and assignment. Develop and maintain strong relationships with external partners to support both business and nonprofit initiatives.
• Program Support & Compliance : Aid in planning, scheduling, and executing NGO programs, fundraising events, and e-commerce campaigns. Ensure compliance with regulatory filings, documentation, and reporting for both the e-commerce and NGO divisions, ensuring adherence to all organizational policies. Be well-versed in representing Organization goals and objectives for awareness and education to the prospective donors, Maintain good relationships with supporters and a high level of donor care.
• Social Media platform skills : Should have ample knowledge of all social media platforms, Designs or support to design, build and maintains our social media presence. Brainstorms new and creative growth strategies for social media promotions

Job Types: Full-time, Permanent

Pay: ?30,000.00 per month

Schedule:

• Day shift

Supplemental Pay:

• Commission pay
• Performance bonus

Ability to commute/relocate:

• Ernakulam, Kerala: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

• Office management: 4 years (Required)

Willingness to travel:

• 75% (Preferred)

Work Location: In person
