As a Documentation Specialist for gem tenders, you will play a crucial role in ensuring the smooth and efficient documentation process for the procurement and sale of gemstones. Your responsibilities will include, but are not limited to:
• Documentation Management: Manage all documentation related to gemstone procurement and sale, including invoices, certificates of authenticity, export/import documents, and shipping records.
• Compliance: Ensure compliance with local and international regulations governing the trade of gemstones, including adherence to Kimberley Process Certification Scheme (KPCS) guidelines and other relevant industry standards.
• Record Keeping: Maintain accurate and organized records of all documentation, both physical and electronic, in accordance with company policies and procedures.
• Communication: Liaise with internal teams, external vendors, and government agencies as necessary to facilitate the timely processing and completion of documentation requirements.
• Quality Control: Conduct regular audits of documentation to verify accuracy, completeness, and compliance with regulatory standards.
• Problem Solving: Identify and resolve any issues or discrepancies related to documentation in a prompt and effective manner, escalating complex issues to management as needed.
• Process Improvement: Continuously evaluate and improve documentation processes to streamline operations, enhance efficiency, and minimize errors.
• Training and Support: Provide guidance and support to team members on documentation procedures, best practices, and regulatory requirements.
Qualifications:
• Bachelor's degree in Business Administration, Commerce, or a related field.
• Previous experience in documentation management, preferably in the gemstone or jewelry industry.
• Knowledge of relevant regulations and standards governing the trade of gemstones, such as KPCS guidelines.
• Strong attention to detail and accuracy in documentation.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite and document management software.
• Ability to work effectively both independently and as part of a team.
• Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
