The Benefits & Payroll Specialist is responsible for assisting with the administration of all benefits and payroll programs. Benefits includes but is not limited to medical, pharmacy, dental, vision, COBRA, FSA, HSA, life, disability, FMLA, 401(k), pension, business travel benefit programs, and wellness. Principal Activities Support the administration of employee benefits programs and payroll functions in compliance with all applicable Company Policies, Procedures, Plan Documents, and government regulations (i.e., Employee Handbook, Leave Management Procedure, all Plan/Policy Documents for each carrier/insurance line of cover, HIPAA, ACA, ERISA, COBRA, FMLA, ADA, Section 125, Medicare, Social Security, and DOL). Run, format, and distribute reports (i.e., general ledger report, paid time off balance report, weekly hours report, EHS report, deduction report, and reportable wage report for PFMLA. Collect, reconcile, and process monthly benefits invoices to ensure timely payment. Resolve invoice related discrepancies identified through the reconciliation process. Perform the weekly HSA CIP process to support the opening of an employee s account. Support employees with access to HR information system (HRIS), benefits supersite, and carrier sites; maintain single sign-on (SSO) failure notifications regarding employees not being able to access the system. Administer Medicare Coverage Confirmations. Provide coverage confirmation to employees. Respond to field HR and employee questions and requests; monitor the Inbox communications. Coordinate soft hand-offs of appropriate inquires to the Benefits Call Center. Assist with annual open enrollment (OE) process (i.e., run daily incomplete reports and do outreach to employee and field HR). Gather data in support of audits (i.e., pull records from database or handle outreach to field HR). Receive and organize vendor communications and distribute to field HR and/or employees. Ensure distribution of required employee notices such as those related to onboarding, separations, Summary Plan Descriptions (SPDs), WRAP Document, Summary Annual Report (SAR), etc. Administers wellness-related benefits program such as Employee Assistance Program (EAP) and Tobacco Cessation. Administers global travel benefits like Medical Benefits Abroad (MBA), Business Travel Accident (BTA), and International SOS (ISOS). Documents and maintains administrative procedures for assigned benefits processes. Identifies opportunities to eliminate waste in internal processes to reduce costs and increase efficiency. Partner with Benefits and Payroll on the implementation of benefits plans including setup, testing, compliance, and communications. Coordinates with Leave Administrator and others as necessary to administer leave programs. Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities. Support domestic and international Mobility/Relocation functions. Undertake projects as needed. Knowledge, Skills, & Abilities Knowledge of employee benefits and payroll along with applicable laws such as FLSA, ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers compensation, Medicare, OBA, Social Security, and DOL requirements. Computer proficiency and technical aptitude with the ability to use Microsoft products, including Excel, Word, and PowerPoint; experience with HRIS and benefits/payroll databases. Education & Experience Associate s degree in HR or related field, but experienced and/or other training/certification may be substituted for the education. 5 or more experience in HR and/or benefits/payroll administration.
