Job Overview:
We are looking for a detail-oriented and reliable Back Office Worker to join our dynamic travel agency. In this role, you will be responsible for supporting day-to-day operations, ensuring that all administrative and operational tasks are completed efficiently and accurately. The ideal candidate will assist in processing bookings, maintaining records, and providing essential support to front-line staff, contributing to a seamless customer experience.
Key Responsibilities:
• Booking and Reservation Management:
• Assist in processing client travel bookings, including flights, hotels, car rentals, and tours.
• Update and maintain booking systems with accurate client details, travel dates, and preferences.
• Confirm reservations with suppliers (airlines, hotels, tour operators, etc.) and ensure all bookings are correctly documented.
• Data Entry & Record Keeping:
• Input travel details into agency systems and databases, ensuring that all information is accurate and up-to-date.
• Maintain and update client profiles, including personal information and travel preferences.
• Handle travel documents, including booking confirmations, invoices, receipts, and itineraries.
• Supplier Communication:
• Liaise with travel suppliers (hotels, airlines, car hire companies, tour operators) to resolve any booking issues or discrepancies.
• Communicate with vendors regarding special requests, cancellations, and modifications to bookings.
• Invoice and Payment Processing:
• Generate and send invoices to clients for travel services.
• Process payments and track outstanding balances.
• Reconcile payments with accounting or finance departments and ensure accurate financial records.
• Documentation & File Management:
• Ensure that all client and booking documents are properly filed and stored, both digitally and physically.
• Create and maintain detailed itineraries for clients, including necessary travel documents (e.g., visas, insurance).
• Customer Service Support:
• Assist in responding to customer inquiries and provide support regarding booking details, changes, and cancellations.
• Follow up with clients post-travel for feedback and ensure client satisfaction.
• Operational Support:
• Help maintain the office's travel inventory, including brochures, promotional materials, and travel-related documents.
• Assist the front office team with any administrative tasks, including preparing client documentation and sending out tickets.
• Reporting:
• Assist in generating daily, weekly, or monthly reports on bookings, payments, and cancellations.
• Provide administrative support in analyzing travel trends and assisting in marketing efforts.
Qualifications & Skills:
• Education: High school diploma or equivalent required; associate degree in travel, hospitality, or business is a plus.
• Experience: Previous experience in a travel agency or customer service role is preferred.
• Skills:
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Familiarity with travel agency booking systems is a plus.
• Strong organizational and time-management skills, with the ability to manage multiple tasks.
• Excellent attention to detail and accuracy in data entry and document management.
• Strong verbal and written communication skills.
• Ability to work independently, as well as part of a team, in a fast-paced environment.
• Basic knowledge of the travel industry, including destinations, suppliers, and travel regulations.
Work Environment:
• Physical Requirements: Ability to sit for extended periods, use a computer, and perform office-related tasks.
• Working Hours: Standard office hours, with some flexibility for peak seasons or client requests.
