Job Description


ResponsibilitiesDirect ResponsibilitiesManaging the HR Shared Services daily activities. Track all processes and ensure completeness of the cases within the defined TAT and quality.

  • Be part of assigning & monitoring daily BAU activities within the team.
  • Data and document management. To be accurate & complete around filing (Physical and digital P-file) & documentation.
  • Maintain all SOPs as a real-time document and share updates within the teams.
  • Ensure to check the mailbox on a regular basis to ensure no TAT misses.
  • Manage expectations from clients/stakeholders.
  • Follow up on open/pending items from stakeholders impacting BAU/activities.
Employee Life Cycle Management
  • Update Job/Comp/Additional Pay details in PeopleSoft as per the input received.
  • Approve/Reject ESS worklist post validating the attached proofs.
  • Prepare various letters ie. employment certificates for various loans, visa, PR, post exit.
  • Respond to emails for employment verifications.
  • Offboarding - System updates and communication to stakeholders for resignation accepted by managers. Follow up on weekly basis for resignations pending for acceptance.
  • Confirmation - Share weekly cut with HRBPs and prepare letters for confirmed employees or probation extensions.
  • Leaves Helpdesk - Manage employee leaves on Peoplemine. Apply, approve leave on behalf of employees / managers if required. Share necessary reports on monthly, quarterly or adhoc basis. Instruct the relevant teams for locking & unlocking of accesses for block leave cases received on deviation.
  • Maintain documents in employee digital P-files and send the physical P-files for archival once the employee exits.
Control Checks
  • Timely mailbox checking
  • Checking mailbox for tagged but un-actioned, actioned but not moved, etc. emails
  • Checking mails in drafts folder for unsent emails by the team
  • HRSS & Leaves HD tracker checks
  • Checking trackers for cases as per due dates, un-assigned cases, etc.
  • Monthly Dashboard -
  • Monthly tracker clean-up for sharing data with Reporting team for monthly dashboard.
  • Preparing new tracker every month
  • Monthly recon of exit cases for F&F processing
  • Recon of Exit Trackers - PeopleMine, PeopleSoft & Spear
  • Recon ESS cases received against actioned.
  • Share monthly counts for exits with Reporting team.
Contributing Responsibilities
  • Partner/Support new processes/backlog of activities.
  • Take initiative of any project which would help in streamlining the process within or outside the team.
