  • Ares is seeking an Associate Vice President, Regional Facilities Manager - APAC for our Corporate Services Team.
  • As a Regional Manager, the candidate will oversee a wide variety of corporate real estate, facilities and hospitality services and is responsible for overall office management in our Mumbai Office and our broader APAC office footprint (including Singapore, China, Hong Kong, Indonesia, Australia, Japan, Thailand, Mauritius, Vietnam, South Korea) and potentially additional locations over time), reporting into the Head of International Facilities UK/EMEA/APAC.
Primary responsibilities:
  • Acts as a Regional Facilities Manager - APAC for Corporate Services for Mumbai and APAC offices, with one direct report onsite and Office Manager liaisons in larger regional offices.
  • Manage 24 x 5 operations in Mumbai office.
  • Should have in-dept exposure of local statutory compliances, vendor management & compliances and fleet management.
  • Monitor Facilities requests and respond to issues promptly & courteously with a strong customer service focus.
  • Liaise with building management staff to report and resolve any issues relating to the physical operation of the office - temperature adjustments, restroom issues, light changes, etc.
  • Manage vendor relationships with office service providers (copiers & fax maintenance, shredding services, office & kitchen supplies, etc.).
  • Review and approval of vendor invoices.
  • Help ensure conference room setups including audio/visual equipment, furniture configuration, and food/beverages as needed, working closely with the Housekeeper and Executive Assistant team to provide excellent end-user experience.
  • Maintain consistent inventory of office and kitchen supplies in conjunction with Associate. Replenish items when necessary and maintain complete records for billing purposes.
  • Assist Head of International Facilities UK/EMEA/APAC with space planning, leasing, and regional office buildouts, as needed.
  • Assist Head of International Facilities UK/EMEA/APAC and work in partnership with local business leaders to ensure seating allocation management, including visitor management and new hire seating coordination.
  • Manage office access program.
  • Work with Associates ensure all office equipment is in proper working order (including replenishment of paper, toner, staples, etc). Contact repair technicians when necessary.
  • Produce various utilization and budgetary reports for review by management and assist Head of Facilities UK/EMEA/APAC with yearly budgeting for the Corporate Services department as relates to the Mumbai and APAC regional offices.
  • Assist in Emergency Preparedness initiatives and training for personnel.
  • Perform regular walkthroughs of meeting rooms, common areas and kitchen spaces.
  • Work with onsite team to ensure that office standards of service and cleanliness are achieved.
  • Perform additional ad hoc functions, proactively working with the Corporate Services team to improve service.
  • Maintain a strong line of communication to the requestor providing updates such as ETA of completion of project(s)
  • In addition will have exposure to leasing and involvement to buildouts
Experience Required:
  • 10+ years in a managerial role in Corporate Services environment
  • Knowledge of buildings, maintenance and service
  • Experience of liaising with clients, tenants, consultants and local authorities
  • Managing third party contractors (in-house and externally)

  • Handle office services duties and day-to-day issues independently, assuming responsibility without direct supervision
  • Strong experience in MS Office
