Job Purpose:To provide efficient and comprehensive administrative & secretarial support to the Lead GCC PS.Actively lead the deployment of employee engagement, communication and Health and wellness initiatives across People Services.PO process and vendor management support for all PS vendors and contractsKey Responsibilities:Provide administrative and secretarial support to the PS Lead. This includes managing calendar, expense management, travel etc.Provide administrative support for visiting PS leaders.Proactively manage the governance schedule for PS Lead and provide full support in organising the online/hybrid/f2f meetings and workshops.Deliver and champion Employee Engagement & Health and wellness interventions across GCC People Services. Work closely with the PS SLT in governing and executing the interventions and measure their impacts.Organise Team Building, Festival Activation and Employee Survey actions planning and activation.Support the PS onboarding activities for new joiners in partnership with the India T1 teams and Drive Induction plan for new joinees in GCC People Services and HR RolesWork closely with PS SLT to create and cascade team communication on important messages on Global changes, HR Policies, Leadership Communications, etcPartner with GCC HR teams to ensure that we actively partner on CSR, Employee fun, and EHW initiatives.Manage the action trackers from key governance meetings and work with PS SLT to drive completion.Manage and support selected GCC PSC leadership team members with diary management and meeting coordination. Proactively look ahead in the diary and ensure that the diary is well managed and thoughtfully planned, the relevant documents are provided and that all deadlines are met.Manage multiple stakeholder meeting requests across time zones and speak with credibility to senior stakeholders and colleagues, including frequent interactions with Global People Services Leadership Team, making effective prioritization decisions based on knowledge and understanding of priority activities and sensitivities.Maintain updated email groups etc to ensure communication and meeting invites are send to the right groupsProvide guidance to PS team members on admin areas as well as guiding them to the available resources within GCC and GSK.Manage Administration of Purchase Order, Vendor Management and contract management for vendor partners for PS. Ensure that necessary controls and checks are done in line with the policy. Proactively work with PS SLT to enable vendor management and governance process delivery.Manage a high-volume workload proactively to a consistently high standard, by setting priorities, objectives and target dates.Act with confidentiality and integrityPrevious Experience Required :Experience of working closely with and for senior leadersOverall experience 3-10 yearsUnderstands the challenges of managing in a complex matrix internally and supporting external meeting management as requiredExperience of working in a global team and operates with cultural sensitivityComfortable with interfacing at all levels of the organisation and working at a very senior level (VP & above)Excellent written and verbal communication skillsExcellent knowledge of Microsoft Office Packages - in particular Teams, advanced excel and PowerPointWorking knowledge of workday, Service nowBasic project management skills and ability to govern multiple projectsStrong organisational and administration skills with a continuous improvement mindsetMaintains a high degree of attention to detail and accuracyAble to handle confidential and sensitive information appropriatelyWhy is this level of experience required?The role supports the GCC LT members and has exposure to and frequent interactions with the global HR leaders.
