JOB DESCRIPTION The candidate must possess knowledge relevant to the functional area, and act as a subject matter expert in providing advice in the area of expertise, and also focus on continuous improvement for maximum efficiency. It is vital to focus on the high standard of delivery excellence, provide top-notch service quality and develop successful long-term business partnerships with internal/external customers by identifying and fulfilling customer needs. He/she should be able to break down complex problems into logical and manageable parts in a systematic way, and generate and compare multiple options, and set priorities to resolve problems. The ideal candidate must be proactive, and go beyond expectations to achieve job results and create new opportunities. He/she must positively influence the team, motivate high performance, promote a friendly climate, give constructive feedback, provide development opportunities, and manage career aspirations of direct reports. Communication skills are key here, to explain organizational objectives, assignments, and the big picture to the team, and to articulate team vision and clear objectives. Associate Program Manager Role and Responsibilities: Calendar Management: Schedule and coordinate meetings, appointments, and events for the CEO. Prioritize and manage the CEO\'s calendar to optimize time and productivity. Communication: Act as the primary point of contact between the CEO and internal/external stakeholders. Draft, review, and edit correspondence, emails, and other communications on behalf of the CEO. Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and transportation. Prepare travel itineraries and ensure all necessary arrangements are in place. Documentation and Filing: Manage and organize important documents, reports, and files. Maintain an efficient filing system to ensure easy access to information. Meeting Support: Prepare meeting agendas, materials, and presentations. Attend meetings, take minutes, and distribute follow-up action items. Office Management: Oversee the day-to-day operations of the CEO\'s office. Coordinate with other executive assistants and department heads to ensure smooth collaboration. Confidentiality: Handle sensitive information with discretion and maintain a high level of confidentiality. Project Assistance: Assist the CEO in special projects and initiatives as needed. Conduct research and compile data for various projects. Expense Management: Manage and reconcile the CEO\'s expenses in a timely manner. Technical and Functional Skills: Bachelor\'s degree preferred. Proven experience as an executive assistant or similar role. Exceptional organizational and time-management skills. Strong communication and interpersonal abilities. Proficient in Microsoft Office Suite and other relevant software. Ability to handle high-pressure situations and tight deadlines. Discretion and the ability to maintain confidentiality. Flexibility to adapt to changing priorities.
