What this job involves:

Managing site single handedly Managing housekeeping, pantry services, technical, mail room, fire inspections as per agreement / contract with client by providing quality management service deliverables to client.

Conduct regular inspections of the facility on housekeeping cleaning, energy conservation, maintenance practices, utility management and risk management procedures.

Ensure Planned Preventive Maintenance activities are undertaken in accordance with the schedule

Ensuring an adequate supply of HK, Pantry materials and Technical for the proper operation of the building.

Responsible for the grooming, uniform standards, cleanliness, hygiene and overall attitude of the staff deployed on site.

Assisting with the preparations of strategic plans, budgets, and client reports, including financial reconciliation for service contract accounts.

Develop initiatives and strategies that lead to cost savings and service improvement

Management of all service contracts

Ensure all necessary scheduled work is completed

Effectively manage all Annual Maintenance Contracts

Co-ordinate with the Operation Manager - on the implementation of FM Procedures and train FM staff.

Prepare and present Monthly Management Report & Quarterly Business Reports to M&M. And to share the MOM as per agreed timelines in the agreement.

Liaise with Building Management to ensure all safety procedures, including Business Continuity and Emergency Procedures are always maintained.

Achieve highest level of satisfaction on food and beverage service

Support, guide and collaborate with F&B executive and pantry team to ensure:

A. Satisfactory of pantry services

B. Events, Meetings, Movie screening and VIP functions are managed as per client's satisfaction.

Preparation of staff schedules, in collaboration with line managers, to ensure the best operational effectiveness within budgetary guidelines.

Manage recruiting, selection, orientation, training, performance planning and evaluations, succession planning and pay and reward programs for team.

Follow established escalation procedures and incident reporting procedures

Monthly preparing and submission of KPI's to client for invoicing.

Ensuring 100 % KPI's objectives are achieved.

Accurate and timely submission of monthly invoices and payments follow up with client.

Weekly operations review meetings with team and client.

Timely release of payments to vendors.

Updating of records like invoice tracker and P&L of account.

To monitor and coordinate with F&B exec, mail room for monthly ordering of material as per requirements. Sufficient stocks are maintained.

To ensure all records and documents are maintained as per requirements.

Provided assistance for ISO documentation and audits.

To attend and submit documents for clients and JLL compliance audits and to ensure 100% scores.

Taking approvals and preparation of monthly main and Misc. cost sheets.

To issue quarterly P.O. to services providers.

To approve invoices in CAAPS as per required documentations and P.O.

Defined SOP's and SLA's to be followed as per agreement / contract with client.

All required checklists to be checked and implemented as per site requirements.

Yearly discussion with team for individual goals and KPI's.

Timely reporting and updating operations manager about the site operations.

Attending to monthly training as scheduled from JLL. And to provide training to the team as per weekly training calendar.

No dues certificates to be taken from services providers for the quarter.

Retention of the team on site to be maintained as per contract.

Follow up with service providers for submission of invoices as per timelines.

Monthly meeting with service providers for operations review.

Sharing and introducing of improvements for operations and improvements in processes.

To ensure that on site team salaries are credited on time monthly before or by 10th of every month.

Updating of Accurals for open P.O. to finance team.

To ensure monthly budgets are maintained for eg. ( Laundry, consumables ).

Managing P&L of the account and seeking opportunities for introducing and improvements of latest offerings as per industry standards for organic growth.

Experience of 6 to 7 years in Facility Management technical operations and having led a site for more than 3 years.
