Assistant Technical ManagerWhat this job involves:About the role:This role will assist the site Engineering Manager in operational activities supporting technical services, maintenance and operations, experience services, vendor management and finance. This role will oversee and manage the following roles: Facility Coordinators and the Workplace Ambassador.This role will work closely with the Engineering Manager to ensure front of house and back of house activities are well coordinated and seamless.Responsibilities

  • Understands the operational & technical requirements of the site and ensure that SLAS are met and current service agreement is maintained to provide services in compliance
  • Completes or supervises monthly Preventative Maintenance and field modifications. Overseeing basic troubleshooting, installation, maintenance, and repair on designated equipment throughout
  • Ensures the scheduling of resources and all shifts for facility coordinators, reception, mail and workplace ambassador are covered
  • Assists with vendor management for maintenance of janitorial, mechanical, electrical, plumbing, carpentry, critical systems, HVAC, and others defined within the portfolio of respective sites.
  • Manages vendor purchase orders, invoices, and payments.
  • Ensures compliance with all health and safety, environment and risk management policies and procedures in conjunction with the Operations manager.
  • Coordinates internally with other teams which may include fitness, food services, security and capital projects.
  • Orders and manages repair parts cycle times. Maintaining tools and test equipment and ensuring they are well maintained. Maintains equipment records in CMMS (Plan on).
  • Supports Engineering, Operational and Soft Services procedures and roll out for site staff. Implements existing and new energy and sustainability management programs to reduce the cost on utilities.
  • Ensures proper engineering documentation and adherence to the clients established change management controls.
  • Performs all work using the proper safety equipment and in a safe manner.
  • Meeting Health Safety and Environment (HSE) and/or all other applicable regulatory / safety requirements on client's premises.
  • Attends site walk with management and client on weekly and monthly basis (Safety Champion Walk, Quality Audit Walk, Internal EHS site walk, etc.)
  • Ensure alignment and compliance to established policies and standard operating procedures for the management of the client's critical environment monitoring (CEM).
  • Assist the area/site manager to achieve or exceed financial targets and key performance indicators.
  • Assist with the annual budgeting and quarterly forecasting processes for the site/s as well as prepare monthly spend reports (actual vs. budget, variance etc.)
  • Actively support an environment of teamwork, co-operation, performance excellence and personal success.
  • Proactively manages the site operations team
  • Maintains daily communications with client to ensure resolution and proper follow-up on arising issues.
  • Participates in performance management program, and personal development planning
  • Acts as an ambassador for JLL by behaving consistently with cultural and ethical requirements

  • Minimum 3 years of supervisory experience in facilities management or related field.
  • Bachelors degree or certification in facilities, mechanical engineering, facilities engineering or equivalent experience.
  • Proficient in a range of information technology tools and platforms.
  • Strong analytical, organizational and presentation skills.
  • Strong customer service orientation, excellent verbal, and written communication skills.
  • Working knowledge of maintenance and operation of building automation systems, water treatment, HVAC, electrical and fire life safety systems.
  • Proficient level of computer skills including MS Word, PowerPoint, Excel, and Outlook. Excellent analytical, interpersonal and communication skills with the ability to communicate complex technical issues in an easy-to-understand manner.
