You need to manage and guide all aspects of the delivery of workspace and productive environments. Sound knowledge of space data management tools such as Archibus and Compass tool . Analyzing and reporting occupancy data using database tools such as Tableau and excel . Preparing Tableau dashboards such as Occupancy dashboards, Real Estate planning . dashboards on occupancy, attendance, log in information etc.. . Upload new floor layouts, do correction in floor layouts using Auto CAD tool and upload . same in the Archibus . Review employee information in Archibus regularly and do the correction wherever . required . Updating new hires and exit employees in to Archibus tool as on required (More than 200 . new hires and exits quarterly) . Responsible for employee relocation program w.r.t arranging temporary accommodation . and relocation arrangements (On an Avg 10 relocation requests monthly) . Apart from space planning, manage house-keeping service whenever need arises . To provide administrative support to the Facilities Team . Manage soft services 384 K sq. ft. of office area . Manage a team of 50+ team of house-keeping staffs and pantry boys . Maintaining 1,50, 000 sq. ft. carpet area and periodically cleaning . To ensure timely and accurate completion of FM reports . Manage Breakfast, Lunch and Dinner operation for more 1,000 employees. . Manage pantry operation across all the floors of Dynasty and EGL offices . Coordinate for all soft services activities like HK services, Cafeteria Services, Dry and Wet . pantry, Event Management, Mail Room Services, Indoor Plants, Pest Control, Carpet . Shampooing and coordination with the builders . Conducting KPI for all vendor every month Roles and Responsibilities: ESSENTIAL DUTIES AND RESPONSIBILITIES . Support iterative design process to develop a working test fit that will be included along with final client recommendations. Strategic Planning and Space Planning Management . Providing data from company Space and drawings to support the Real Estate Strategy team to carry out analysis and evaluation of workplace both existing and proposed. . Understanding company\'s Workplace Standards and Design Guidelines with the intent of supporting their ongoing application and evolution . Planning, management, and Execution of campus wise restacks using company\'s dedicated software and AutoCAD. Housekeeping Services: - Ensure the 100% deployment of HK team on site - Capturing snag and coordinating with M&E - Inspect the deployment and verify the attendance - Ensuring daily cleaning & sanitization is happening at workplace - Ensuring if any COVID case found at work area, immediate disinfectant treatment carried out - Shift muster has to be prepared and implemented - Weekly meetings with the HK executive and assign the priorities of the day/week - Maintaining inventories of equipment\'s and supplies and ensuring appropriate stock levels of housekeeping are available - Ensure the deep cleaning schedules are prepared and achieved - Conducting monthly store audit - Monthly once conduct meeting with the soft services vendors and obtain their signoff on the service levels scorecard - Vendor invoice processing Cafeteria Services: - Implement all cafeteria related procedures on site - Coordinate with catering vendors to ensure quality and hygiene in the areas operated by them - Ensure good housekeeping standards for the dining areas - To coordinate with Facilities Manager to have all cafeteria related contracts in place. - Ensure proper functioning of the following system in the cafeteria All Electrical Systems, All HVAC system, Water, Plumbing, Sanitary Systems, Cafeteria equipment\'s & furniture - Daily inspection of logbooks, cleaning schedules etc for a better management of systems. - Conduct the Food committee meeting and obtain their suggestion and implement on ground - coordinating daily with vendor for cafeteria management operations - Design menus for every week, continuously make necessary improvements, and support vendor to perform better - Conducting specific audits of F&B stores and base kitchens on a regular basis and sharing CAPA report - Maintaining inventories of equipment\'s and supplies and ensuring appropriate stock levels of pantry supplies, food supplies are available to ensure smooth operations as per the contracts approved by the client - Vendor invoices processing aligned with client\'s finance process - Sharing daily food observation with vendors for improvement - Working towards ISO 22002 certification for Food Safety Management - Coordinating with vendor for Food sample collection - Ensuring timely setup Basic Qualifications: . Bachelor or Master\'s degree or related fields. . At least 4+ years of experience . Coordinate for all internal and external events . Coordinate and monitor the pest control activities on site . Coordinate for the indoor plant maintenance and quality . Preparation of Carpet Shampooing annual calendar and execute as planned . Ensure the HK and Pantry consumables are adequate in stock . Quarterly training for the HK teams . Quarterly rewards and recognition program for HK team . Coordinate with the builder for the common area maintenance . Ensure all the equipment\'s related to soft services are in good . working condition and utilized effectively . Coordinate for all FM related activities during the FM absence . Maintaining office automation equipment viz. tea-coffee / water . vending machine, newspaper/ magazines, tuck shop etc . Working towards food optimization to avoid food wastage on daily basis . Working with FM on process enhancements . Following up with multiple vendors on on-time invoice submission . Collecting NDC from vendors . Responsible for analyzing the materials requirement in terms of quality & quantity . Maintaining 1 month stock for HK & F&B and following FIFO.
