About this role

JLL is looking for a highly motivated AFM( Soft) who would be working out of client Site at Gurgaon.

We are looking for a person who has exceptional skills, Knowledge of complainces and ability to take charge of facility independently. The person would be required to coordinate with various stakeholders of client most of whom are senior leadership and must be able to solve all of the client problems. The person on this role should be able to think out of the box and assist client and their CRE with their corporate direction.

The role requires a unique mix of exceptional communication skill and high levels of energy. The role will appeal to a proactive team player that can learn quickly and is motivated to solve client problems.

What this job involves

Position\xe2\x80\x99s Goal

  • Management services to Account in support of their business needs in accordance with the Service Levels, and Key Performance Indicator requirements
  • Manage Facility Management team in the delivery of services especially all help desk issues & user services.
  • To assist in the maintenance of the premises including any designated financial, maintenance, procurement, and asset & vendor management.
  • Develop an understanding of and sound working relationships with key representatives of the client and key suppliers/service providers with whom you operate in support of the site.
  • Specifically manage the role of the Front office Executive, the Janitorial and technical team
Deliverable Role/Responsibilities
  • Manage offsite record management operations including documents collection & retrieval
  • Review and spot-check your areas of responsibility to ensure that suppliers/service providers are meeting contractual obligations to the client.
  • Ensure detailed floor inspections on a routine basis.
  • Monitor the Help Desk system as it effects your area & ensure that rectification works are recorded & action-ed in a timely manner
  • Ensure your aspects of the working environment meet all requisite Standards.
  • Assist the Facility Manager to ensure the smooth running of meetings &/or events
  • Assist with Business Unit relocations or \xe2\x80\x98ad hoc\xe2\x80\x99 projects.
  • Assist with critical out-of-hours issues & participate as a key team member in response to emergency situations
  • Provide backup support for the Facility Manager in times of absence.
  • Clearly document & communicate all client expectations to the balance of the FM team
  • Ensure general administrative activities under your control are conducted in a timely and efficient manner
  • Assist with any other duties as assigned by the Operations director or Real Estate head on a \xe2\x80\x9cneed be\xe2\x80\x9d basis.
Management Role/Responsibilities

In addition to providing the information as above, the management responsibilities of this role include:
  • Oversee pantry services, catering services for in-house lunch, presentations and staff events
  • Assist in manage service levels to meet business unit needs
  • Manage kitchen equipment inventory and maintenance
  • Ensure the general cleanliness of the office and the management of the Janitorial team
  • Manage user car park applications with Building Landlord
  • Ordering of copier refills, office equipment [non IT equipment] and plants for the office
  • Ordering of office supplies such as stationeries and pantry supplies, equipment and services and analysis.
  • Manage subscription of periodicals and newspapers
  • Manage the receptionist in the discharge of the front office duties such as;
  • Ensure that all building complainces and labour compliances are in place
  • Coordinate with various stake holders towards EHS requirement
Interaction
  • Coordinate closely with the site leaders to address problems and/or enhance working environment performance
  • Weekly connect with associate to understand the concerns

Education

A Degree or equivalent experience in a Real Estate or business-related discipline; Postgraduate qualifications, including an MBA or its equivalent, an advantage

Knowledge & Experience

A background in workplace/portfolio strategy preferred however also consider change management, business strategy, brand strategy, design/ architecture, sociology, and organizational behavior or any combination of these backgrounds. Ability to speak local language.

Work Style / Personal Attributes

Ability to engage with Corporate Real Estate clients and C-suite executives. Dynamic personality with strong communication skills. Strategic thinker, team player and innovative. Ability to lead multi-cultural, multi-geographical teams. Strong client relationship skills. A willingness to travel when required.
