Job Family: Facilities (India)Travel Required: Up to 25%Clearance Required: NoneWhat You Will Do:\xc2\xb7 Reports to Sr. Manager -Facilities & Administration\xc2\xb7 Overall responsible for all administrative aspects and functions related to the day-today operations of the site.\xc2\xb7 Experience in handling office expansion and renovation projects\xc2\xb7 Negotiate terms and conditions with contractors/vendors, including long-term alliance contracts.\xc2\xb7 Working closely with PMC to ensure efficient and consistent practices through all stages of the project and make sure project deadlines are meet as agreed with business\xc2\xb7 Experience in handling documentations and ISMS Audits\xc2\xb7 Interface and liaison with all government officials like law enforcement (police), waste management, e waste. Health authorities, EHS and SEZ authorities, etc. Also, interface with vendors appointed by these government bodies to provide the services.\xc2\xb7 Maintain registers & files in the office\xc2\xb7 Prepare and present accurate and reliable reports to Sr. Manager.\xc2\xb7 Compile the list of documents and information to be collected from the builder\xc2\xb7 Prepare and maintain of asset management\xc2\xb7 Prepare and maintain all vendors and key person contact details\xc2\xb7 Prepare and maintain all vendor Standard Operating Procedure (SOP) -\xc2\xb7 Maintain the vendor services in a cost-effective way\xc2\xb7 Maintain cafeteria management\xc2\xb7 Ensure the safety of the office follow and enforce safety rules and regulations.\xc2\xb7 Demonstrate pro-active handling in core areas of responsibility\xc2\xb7 Ensure uninterrupted services by maintaining all equipment with least breakdowns\xc2\xb7 Plan PPM (Periodic Preventive Maintenance) for all services to avoid crisis bound repair work\xc2\xb7 Maintain good relationship with clients, landlord and vendors\xc2\xb7 Arrange regular meetings with key vendors.\xc2\xb7 Handle emergency situations and time sensitive deadlines with accuracy and speed\xc2\xb7 Attend to and assign work orders and emergency projects with required urgency and priority\xc2\xb7 Conduct periodic inspections of buildings and facilities and reporting the same needs\xc2\xb7 Overall responsible for AMCs and contracts\xc2\xb7 Pro-actively inspect/survey the complex and raise tickets for maintenance work (preventive and/or reactive) to be undertaken; tickets raised by committee members and/or residents indicate that FM has missed that opportunity.\xc2\xb7 Supervise the count of tickets - maintain low count of open tickets in core areas of responsibility, update challenges in notes and close tickets properly by completing required actions before second escalation\xc2\xb7 Manage the team and make them responsible for each task assigned to them. Also monitoring and tracking the internal ticketing system and PMO. Ensure the tickets should be reviewed and resolved within defined SLAs.\xc2\xb7 Manage the budget efficiently and yield cost savings wherever possible without compromising quality of service.
