If you are ready to be part of our life-changing careers, apply now!About the departmentFinance GBS was established in 2008, GF Procurement is the offshoring unit of Global Procurement and is part of Finance GBS, Bangalore.Region APAC was established in early 2020, covers 20 countries in total, the main parts of the region are geographically in Asia & Pacific, but we also cover Oceania (Australia & New Zealand). Region APAC consists of seven big affiliates: Oceania, India, Korea, Iran, Thailand, Indonesia, Pakistan and BASEA (Business Area Southeast Asia). BASEA is headquartered in Kuala Lumpur and is responsible for Bangladesh, Brunei, Cambodia, Laos, Malaysia, Maldives, Myanmar, Philippines, Singapore, Sri Lanka, and Vietnam. The headquarter of Region APAC is in Dubai, UAE and has around 50 employees. This position based in Bengaluru, India which directly reports to Procurement Director, APAC Procurement, and dotted line to the M&E CoE Lead in Denmark.The positionIn this role, you will manage all affiliates in Region APAC on Meetings & Events Procurement activities by driving strategy/initiatives/savings that includes cross collaborative projects, regional sourcing, running strong vendor evaluation, vendor capability building and delivering value creation ideas and supporting discussion with stakeholder for the events including hotel, travel, logistics, vendor relationships, travel agents, and meeting budgets. This position includes sourcing, category management, supplier management and harnessing synergies to create cross country collaboration, regional contracts, category compliance and working with the stakeholders in affiliates to drive local and regional initiatives. The main scope of accountabilities includes but is not limited to:

  • Develops and implements event negotiation strategy to achieve the best pricing and considerations with suppliers. Follows affiliate process to ensure compliance with internal meeting policy.
  • Initiates the process to secure appropriate room blocks, event space, and pricing from hotels and other suppliers, both national & international level. Demonstrates ability to construct and manage to drive supplier selection processes and develops long-term strategic partnerships with suppliers.
  • Negotiates and confirms critical program components with supplier(s), achieving savings to meet company goals as well as stakeholder requirements. Prepare detailed project plan, coordinate with cross functional teams, and ensure timely milestone of key projects. Planning, driving, and administering all activities related strategic events, collecting information about national and international meetings, and reporting yearly calendar/monthly calendar about relevant meeting and events.
  • Coordinate with stakeholders to organize standalone program or events including preparation of company exhibition and relevant materials for national/regional/city events. Superior communicator that identifies key messages and prepares well-structured story lines and uses creative charts and tools.
  • Delivers success in dealing remotely with senior stakeholders in different regions of company and with strategic meeting and events suppliers. Works closely with corporate procurement to rollout global initiatives and systems across APAC. Working virtual and across time zones to manage key stakeholders and suppliers.
Qualifications
  • Bachelor\'s degree from a reputed university.
  • Minimum of 5-7 years of procurement hands-on experience in managing meeting and event category, from a leading organisation. Industry expertise in dealing with hotels chains, travel management & event management companies. Experiences in managing couple of countries across region will be preferable.
  • Proven track records, exposure & experience of running end to end event management projects including on ground execution at national & international level and handling of virtual meeting & events at international level.
  • Strategic and ownership mindset with very energetic, problem-solving capabilities, persuasive, encouraging, motivating and ability to communicating across multiple stakeholders.
  • Experience in CVENT, LogMeIn and COUPA tool will be an advantage. Good communication skills with proficient in Microsoft Office (Word, Excel, PowerPoint).
