We are a part of Advent International which is one of the largest and most experienced private equity firms in the world.Purpose of the Role: This role is within Global Sourcing Support Team under the Williams Lea Global Head of Sourcing & Procurement and reporting to the Operations Manager in India. This role will also work very closely with the Global Category Managers, Client Account Managers and Directors in the Americas, EMEA, APAC and business partners.The Vendor Asset Database Administrator will be responsible for the effective management of vendor Asset records and billing. The jobholder will maintain the Asset Management Platform \xe2\x80\x93 E-tabs and ensure vendor records kept upto date and are maintained accurately. The job holder will act as a first point of reference to internal departments for requests for information relating to vendor Assets and information and will be responsible to the monthly invoice uploads and audits. The Vendor Asset Database Administrator will also act as the first point of reference for calls/mail/email communications from prospective vendors.Activities to be performed:
1) Asset Database Updation & Maintenance:

  • Add/Modify/Dispose Assets in the E-Tabs platform based on approval & relevant documentation.
  • Facilitate payments by reviewing, consolidating and uploading the monthly invoice summary.
  • Ensure all payment are within and adhering to the established tolerance level.
  • Follow up with Suppliers / Client team for settling discrepancies.
  • Provide reporting back to stakeholders and Sourcing team as per request and schedules.
2) Team Admin Tasks:
  • Maintain Vendor and Client related trackers and logs.
  • Perform QC and audits on internal and supplier reports.
  • Manage and maintain group mailboxes adhering to set SLAs
  • Issue Supplier and Internal Communications as required.
3) Action and respond to all emails received through the Generic Email mailbox
4) Produce Weekly & Monthly Reports on time
5) Create and Document SOPs and Process Maps
