Position Summary:
The Alumni Officer is responsible for supporting the Alumni Relations Manager in the development and implementation of programs and initiatives that foster strong connections between the university and its alumni. This role involves coordinating alumni events, managing communication efforts, maintaining alumni records, and engaging alumni in meaningful ways to support the university's mission.
Key Responsibilities:
Alumni Engagement:
Assist in developing and executing strategies to engage alumni through events, communications, and volunteer opportunities.
Build and maintain relationships with alumni, encouraging their ongoing involvement with the university.
Respond to alumni inquiries and provide support as needed.
Event Coordination:
Support the planning and execution of alumni events such as reunions, homecomings, networking events, and webinars.
Handle event logistics, including venue arrangements, invitations, RSVPs, and follow-up communications.
Collaborate with other university departments to ensure successful event execution.
Communication and Outreach:
Assist in creating and distributing alumni communications, including newsletters, email campaigns, social media posts, and the alumni website.
Collect and share alumni news, achievements, and stories to promote alumni engagement.
Maintain regular and effective communication with alumni through various channels.
Data Management:
Maintain and update the alumni database with accurate and current information.
Track alumni engagement metrics and provide reports to the Alumni Relations Manager.
Assist in analysing data to inform strategies and improve alumni programs.
Volunteer Coordination:
Identify and recruit alumni volunteers for various programs and initiatives.
Support the coordination of alumni volunteer activities, including mentoring, career support, and event participation.
Recognize and appreciate alumni volunteers for their contributions.
Fundraising Support:
Assist the development office in identifying potential alumni donors.
Promote giving opportunities and encourage alumni to support the university's fundraising efforts.
Help organize fundraising campaigns and related activities.
Career Support:
Assist in developing and managing alumni mentorship programs that connect current students with alumni.
Support career services initiatives, such as job fairs and career counseling sessions, involving alumni participation.
Qualifications:
UG/PG in a related field (e.g., Communications, Marketing, Education, Business Administration).
0-3 years of experience in alumni relations, event planning, marketing, or a related field.
Excellent communication and interpersonal skills.
Strong organizational and project management abilities.
Proficiency in using CRM systems and data management tools.
Ability to work independently and collaboratively within a team.
Flexibility to work evenings and weekends as needed for events.

Increase in alumni engagement and participation rates.
Successful coordination and high attendance at alumni events.
Positive feedback from alumni regarding communication and support initiatives.
Growth in alumni contributions to fundraising efforts.
